THE OPPORTUNITY

Title: Communications and Events Coordinator

Location: Wick, Caithness

Role type: 12 month fixed term contract

Other: SC clearance will be required

(The post you are applying for attracts a Personnel Security clearance subject to further eligibility criteria to meet national security vetting requirements. You will normally need to have been resident in the UK for at least 5 years for SC prior to the date of application).

Job summary

To manage events coordination, meetings and site communications at a contract level (Nuclear Decommissioning Authority contract (NDA). 

Management and engagement with the community to establish socio economic initiatives.

Attendance and engagement at local and commercial events to establish socio economic, commercial and environmental initiatives or opportunities.

Ensure relevant processes and procedures are updated as required. 

To adhere to site Health and Safety, Security and Assurance/Management System policies and procedures at all times.

Attend events and travel for site visits as required by the role.

Administration duties as required by Archive Site Manager and management team

Your role in our mission: 

Events Coordination

Manage, plan and oversee all events at Nucleus, public and non-public. Duties include:

  • Develop a communications strategy for all contracted sites. Communicate and ensure delivery of this.

  • Oversee all events administration including managing booking forms, emails and phone calls to those requesting the event, managing the Nucleus diary and room booking system, contacting and arranging catering and transport where required.

  • Set up of the room(s) required for events. Setting up of rooms including configuration of tables and chairs/IT equipment/catering facilities. Liaising with the Operations Manager and Porters to ensure room set up is of the appropriate standard.

  • Ensuring a visible presence during events to assist with any technological issues arising, managing catering schedules, delivering site inductions etc. Liaising with cleaning staff to ensure events are delivered to the appropriate standard.

  • Delivery of large-scale events such as international conferences, including submitting fully costed project plans to the NDA.

Communications

Duties include:

  • Attend weekly management meetings, Health & Safety meetings, PMO cross-site meetings and other management events as required to facilitate effective communications strategy.

  • Minute taking and distribution for meetings as required 

  • Lead on all internal and external communications at contracted sites, internal publicity, and supplementary reports, liaising with other sites and departments as required

  • Develop relationships in the local community, Chamber of commerce, Education facilities to deliver initiatives that have a commercial, socio economic or environmental benefit

  • Log all official communications in the appropriate systems and disseminate to the management team as required

  • Develop relationships with local businesses to provide staff benefits and increase footfall creating mutual benefit to each party

Key Responsibilities:

  • Lead on communications, both external and internal 

  • Liaise with Caithness Archives and Heritage Officer to produce and deliver stakeholder engagement and meet socioeconomic obligations 

  • Manage events and bookings to customer expectations in line with Nucleus security policy.

  • Assist with NDA events highlighting the role of Nucleus and work of the contract 

  • Compliance to ISO standards held and protocol for the communication and transfer of data in line with the current NDA security policies. 

  • Lead engagement activities with community, stakeholders and end users to ensure NDAAL facilities and satellite organisations are delivering on the contractual obligations for socio economics, environmental and equality, inclusivity and diversity in line with Iron Mountain and NDA guidelines and policies.
