Essential Duties

  • Conduct support to specified managers of the Commercial team, often exercising the utmost confidentiality.
  • Support company-wide corporate programs by performing systems administrator functions.
  • May assist in managing the daily schedules.
  • Manage travel arrangements (international and domestic) and proactively coordinate the pre-planning of trips with various internal functions including arranging agendas, necessary contacts, and meeting materials.
  • Manage all conference/seminar attendance logistics (registration, meetings, hotels, flights and ground transportation) for attendees as necessary.
  • Process/audit expense reports for those individuals of primary support, their teams, and others who may be identified as needed expense support, as time and capacity may allow.
  • Review and assist in managing and processing vendor invoices for payment.
  • Use Microsoft Office to prepare documents, design and manage SharePoint sites, design spreadsheets, and PowerPoint presentations. Arrange Microsoft Teams meetings as needed.
  • Ensure that all administrative tasks are done in an effective and efficient manner, including copying, reviewing outside mail, drafting correspondence, screening phone calls and maintaining electronic files.
  • Assist in drafting and filing simple legal documents along with paralegal and legal assistance.
  • Schedule meetings, prepare agendas and handouts, ensure rooms and resources support the meeting objectives, handle all meeting changes, and preparation for any meals and events related to internal and select external meetings.
  • Interact with customers or partners to schedule and coordinate live meetings onsite and offsite to help facilitate alignment of business objectives.
  • Act as a primary point of contact to help plan and execute select association meetings with valued association partners that may be hosted at Upsher-Smith.
  • Along with other USL Administrative Assistants, provide back-up to Receptionist/Operator in instances where back-up is required (scheduled PTO, breaks/lunches or unplanned absences).
  • May require team coordination of department or corporate events and/or back-up for other admins where on-site or remote events may require two or more USL Administrative team members to execute an event.

Experience Type

High school diploma required; Associate or Bachelors’ degree preferred. At least 3 years of administrative support experience (preferably with senior leaders) within an office environment required. Knowledge of Microsoft Office Software Programs (Word, Excel, Power Point, Teams). Certified Administrative Professional (CAP) desired.

This is a hybrid role.

Compensation Range:

$68,891.00 - $103,337.00
