Job Summary
The Facilities Coordinator is responsible for the administration of the Computerized Maintenance Management System (CMMS). This role provides technical support, business support and analysis for the CMMS inclusive of Work Order Management, Service Requests, Asset Management and Reporting. The goal of this position is to increase Accuracy and Reliability of all elements of the CMMS. This role works closely with the client Project Manager that oversees the CMMS for the Cincinnati Site.
Essential Duties and Responsibilities
- Include the following. Other duties may be assigned:
- Ensure a safe environment. Incorporate safety into every maintenance activity.
- Manages work orders in the system, ensure proper creation, updates, and closure of work orders. Support management in the review of WO Data accuracy such as Equipment on WOs, WO type, status, and WO Comments.
- Assists the Maintenance Planner in preparation of effective work plans and schedules, enabling the Maintenance Team to efficiently perform required maintenance work.
- Coordinates with Maintenance managers to assure timely completion of Preventative Maintenance, Corrective, and Demand work orders.
- Act upon issues noted on work orders by Technician, such as Asset cannot be located, or location has changed– contact Engineering QA to investigate.
- Job Plan tasks need updated or split apart- create the corrected job plans in Excel or Word and submit with an SR to have them revised.
- Notify Data Admin if there are any PM frequencies that need to be updated or the generation month needs to be changed.
- Attach Contractor signed off documents to work orders.
- Monthly review of CM work orders. CM work orders should have an asset#. Some CM work orders should be changed to RT as they are not asset based.
- Checks work order queue and pending service requests frequently as some may not have been sent to the right department and will need to be re-routed. Check to ensure requests are not duplicated.
- Review each request to ensure accurate description, asset or location. Either processes as a work order or reject the Service Request.
- Periodically check that Maintenance Service Requests show as closed upon closed status of related work orders. Provide Service Request and Maintenance Helpdesk support to end users for Maintenance and Facilities related issues including Fit & Finish work.
- Provides excellent customer service in answering the SR Helpdesk phone (Maintenance Hotline) with proper phone etiquette, checks messages frequently, and other forms.
- Create Work Order for service call in
- Notify Maintenance Management Team so that Technician can be deployed
- Provide Data collection, analysis, and reporting as requested.
- Support Database Administrator in CMMS administration (IBM Maximo).
- Provide end user support and administrative support for Maintenance and Facility operations as needed. Maintains essential records and files.
- Ability to multitask – work with multiple interruptions (phone call, questions, etc.)
- Ensures the department maintains a good reputation with its customers.
- Performs other maintenance related tasks and special assignments as requested by Maintenance Management.
- Daily check and review of PMs for any new PMs and assign according to management direction
- Generate Daily Work Order Reports (CM/RT and PM), Weekly KPI Reports and other reports as needed Other Duties as directed
- Perform general office, administrative tasks, including data, entry document management, scheduling and correspondence, ensure timely and accurate completion of standard operating procedures.
- Complete SOP’s, as required by the client and C&W Services.
- Support, day-to-day operations by maintaining organized records, filing systems, ensuring compliance with internal protocols, collaborate with management and team members to support goals and workflow efficiency.
- Carry out additional duties assigned by management adapting to shifting priorities and business needs.
Requirements, Qualifications
- Proficiency in Computerized Maintenance Management System (CMMS), preferably Maximo. Able to create reports and manage data in EXCEL. Excellent program administration skills.
- Requires good oral/written communication skills. Excellent Customer relations skills.
- Time management skills. Good project planning and organizational skills. Ability to manage multiple tasks concurrently.
- Position is full time, 40 hours per week, Monday thru Friday.
- Position is 8 hours per day with 30-minute lunch
- Required to be onsite during office hours: 8:00am – 4:30pm
- Any work from home or weekend work must be approved in writing
