The Client Services Associate provides exceptional office and mail services, delivering operational functions in the following areas: processing of client records fulfillment, cross training in all mailroom services.

Overall, this position continuously offers the highest level of service to all client and SPS employees while maintaining a professional image of the company by providing prompt, courteous and efficient service.

Duties and Responsibilities:

  • Maintains the Business Service Center area in a neat and orderly fashion.
  • Assists with copy/print orders and/or monitoring the copy/print equipment for satisfactory functionality.
  • Proactively seeks out additional work during downtime.
  • Builds professional relationships with customers and other teams.
  • Maintains professionalism and composure when interacting with all employees.
  • Provide superior customer service and demonstrate professionalism at all times
  • Perform various support service activities focusing on printing, organizing and kitting materials
  • Perform various support activities focusing on preparing outgoing mail and accountable items
  • Utilize onsite resources, software and programs to ensure accountability and accuracy
  • Maintain a consistent and flexible schedule to meet the changing needs of the business
  • Be available for overtime during peak seasonal times
  • Handle time sensitive and confidential information, including documents, adhering to all security protocols
  • Handle all inventory management of supplies weekly to include ordering, stocking, maintaining par levels
  • Perform quality control functions as directed to ensure accuracy
  • Perform other tasks as assigned
  • Cross train to perform mailroom services as needed
  • Monitor and reply to client communications, including email, in a timely and professional manner
  • Calculate and document metrics, including daily volumes, meeting all reporting deadlines
  • Maintain all compliance expectations regarding sensitive and confidential materials

Competencies:

  • Strong verbal and written communication skills.
  • Excellent customer service skills.
  • PC skills MS Office Suite experience.
  • Ability to handle multiple tasks simultaneously.
  • Good organizational skills.
  • Working knowledge of MFD equipment.
  • Possesses ability to work independently and within a team, capable of completing projects.
  • Ability to handle highly confidential documents – attention to detail is paramount
  • Experience with large/production printing devices preferred
  • Basic PC/Windows experience required – including Word/Excel

Qualifications and Education Requirements:

  • Must also be able to pass a client specific background screening
  • Minimum of 1 year customer service or related experience required.
  • Minimum of 1 year demonstrated knowledge and experience in a related functional area preferred
  • Ability to work assigned work hours determined by manager.
  • Excellent organizational and time management skills.
  • Analytical abilities and aptitude in problem-solving.
  • Superb written and verbal communication skills.
  • Current knowledge or ability to learn computer-based systems required for functions of position.
  • Required to maintain an overall professional appearance and attitude.
  • Adhere to all policies and procedures required.

Physical Demands:

  • Fine and/or gross motor skills, including the ability to grasp, lift and/or carry or otherwise move packages on a standard wheeled cart with a load capacity of 60 lbs.
  • Ability to walk, bend, kneel, stand, and/or sit for an extended period of time.
  • Manual dexterity required for operating office machinery (phone, copy machines, binding equipment, etc.).
  • Ability to lift or move 45 lbs. or greater frequently.
