The Operations team is seeking a detail-oriented and tech-savvy Business Systems & Operations Specialist to join our growing organization! Reporting to the AVP of Operations, the Specialist will play a key role in managing and optimizing core business systems such as HubSpot CRM, Jira, and Monday.com. This role will focus on driving process automation, improving system efficiency, and fostering collaboration across departments. The ideal candidate brings a problem-solving mindset, a passion for business systems, and a knack for workflow optimization using tools like Zapier and beyond.
A day in the life of a Business Systems & Operations Specialist: Wakefield, MA
- Maintain and optimize HubSpot CRM to ensure data accuracy, efficient workflows, and reliable reporting.
- Provide user support, training, and ongoing enhancements.
- Manage Jira, Monday.com, and other operational tools to boost productivity and cross-functional alignment.
- Identify and implement opportunities to streamline and integrate business processes.
- Use automation tools like Zapier and HubSpot workflows to improve operational efficiency.
- Explore and implement AI-driven solutions to enhance reporting, task management, and overall system performance.
- Partner with Sales, Marketing, and Customer Success teams to ensure systems meet their evolving needs.
- Provide backup support for the AVP of Operations to ensure seamless system oversight.
- Build and maintain dashboards and reports to track system usage and business operations.
- Analyze data to identify trends and recommend process improvements.
- Develop clear SOPs and system documentation.
- Lead training sessions and promote best practices across teams.
What you’ll need to succeed:
- Bachelor's Degree with a focus on business, process and information systems, or related field.
- At least 3 years of experience with CRM administration or any equivalent combination of education, training and experience which provides the required knowledge, skills, and abilities to perform the essential functions of the job.
- Strong knowledge of HubSpot CRM (or similar CRM platforms).
- Experience with workflow automation tools (Zapier, HubSpot workflows, or similar AI-driven tools).
- Familiarity with Jira, Monday.com, or similar project management tools is preferred.
- Ability to analyze data insights and recommend system improvements.
- Strong collaboration and teamwork skills across departments.
- Strong attention to detail, troubleshooting skills, and adaptability.
Compensation:
Compensation: We offer a competitive compensation commensurate with experience and qualifications. The starting annual salary for this position is $60,000.00. The final salary will be determined based on factors such as skills, knowledge, and demonstrated expertise.
