Job Description:
Semafor is seeking a Business Operations Associate to assist the Business Operations team by providing administrative support across accounts payable and spend management, travel administration, and general office management. The ideal candidate will be a detail-oriented professional with experience in accounting and finance with the desire to be on the ground floor of a rapidly growing startup and the opportunity to be involved in an array of cross functional roles and projects. The successful candidate will be comfortable working independently and as part of a team, with the ability to adapt to changing priorities in a fast paced, high energy environment.
What You’ll Do:
Finance & Operations Support
- Manage the Travel and Expense management system, Nexonia.
- Review and approve/reject expense reports as required, communicate any problems to the users prior to rejection.
- Provide instruction to Nexonia users as needed and help users fix problems proactively.
- Alert Controller/Finance Director of any expenses submitted outside of policy prior to approval/rejection.
- Audit and process expense reports and purchasing card transactions in compliance with IRS guidelines and company policies.
- Regularly audit and report on T&E trends, recommending process improvements as needed.
- Collaborate with the finance team in implementing a new global expense solution
- Assist with accounts receivable processes, including invoicing and payment tracking.
- Provide the Editorial team assistance tracking Contributor agreements and SOW’s.
- Provide Editorial team assistance with monitoring subscriptions.
- Look up payment status in bill.com when queried.
- Provide assistance with ad hoc projects.
- Assist the Finance team in other initiatives aimed at improving the financial performance of the business.
Office Management
- Assist with general office management for fast-paced open office spanning newsroom, sales and marketing, and finance teams.
- Coordinate with the Office Building Facility team on repairs, problems.
- Order, maintain, and restock inventory of office supplies, kitchen area of snacks, beverages, cups, utensils, etc.
- Coordinate the maintenance of office equipment including printers and copiers, as well as security cameras, alarms, etc.
- Greet visitors and manage front desk operations as needed.
- Assist with company-sponsored internal events and employee recognition programs.
- Support in-offices human resource processes including assisting with employee onboarding and offboarding processes.
- Assist with special projects as needed.
What You Offer
- Associate’s or Bachelor’s Degree in Finance, Accounting, or related field from an accredited university or college.
- 2 years of experience in a finance or administrative role.
- Experience with accounts payable.
- Experience with accounts receivable is a plus.
- Excellent Microsoft Office Skills with a strong emphasis on Excel.
- Strong attention to detail, proven organizational and time management skills.
- Excellent interpersonal skills and works well in a team environment.
- Ability to handle confidential information with discretion.

Compensation:
The base salary for this position at the time of posting will range from $65,000 - $75,000 per year. Individual compensation varies based on job related factors, including business needs, experience, level of responsibility and qualifications. Work from home 1 day per week (In-house 4 days/week).
