SUMMARY

Westlake is offering an opportunity to apply your experience and skills as an Assistant I based in the VCM Unit in Plaquemine, LA. This position is responsible for administrative and office support activities for multiple supervisors.  Duties may include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, filing, faxing, and other general administrative work. 

ESSENTIAL DUTIES AND RESPONSIBILITIES

May include, but are not limited to, the following:

        Demonstrates strong safety culture through personal behavior and commitment to environmental, health & safety.

        Participates and supports Westlake’s SIT/USIT, PACE, and SafeStart initiatives.

        Collects, assembles, and summarizes information as directed and may create documents from the data such as charts/tables, reports, or basic presentation slides.

        Prepares forms, memos, announcements, documents, manuals, letters and other departmental correspondence.

        Maintains supply inventory by checking stock to determine inventory level; anticipating needed supplies; place and expedite orders for supplies; verify receipt of supplies; pick up supplies

        Writes purchase /service requisitions in SAP for the VCM unit.  Check and manager SAP inbox daily Work with procurement and the unit to adjust and approve PO’s as needed.

        Coordinates monthly reviews of operating procedures.  Manages updates and corrections from the reviews including EDMS. 

        Coordinates meetings, recognition, and retirement events (meals, agendas, minutes); ensure meeting locations are prepped prior to and after meetings. 

        Greets visitors and others and assists in resolving requests as needed.

        Completes a variety of basic HR and Finance related transactions. This may include data entry, spreadsheet management, procurement card transactions, procurement card receipt tracking and reconciliation.

        Maintains bulletin board, mail sorting, and distribution. 

        Fulfills month end closing duties for the VCM Unit for raw materials.  Generate and distribute month end production reports

        Assists in scanning, uploading and managing documents in an electronic document system and on computer networks.

        Updates and maintains personnel rosters

        Other duties as assigned.

EDUCATION

        High school diploma or equivalent required, college preferred

ESSENTIAL SKILLS AND QUALIFICATIONS

The ideal candidate will possess the following essential skills and qualifications:

        Minimum of 3 years of demonstrated related office administrative experience

        Excellent organizational and communication skills, both verbal and written

        Good computer skills, with working knowledge of standard Microsoft Office word processing and spreadsheet applications; and the ability to learn all company software applications and databases

        Ability to handle multiple tasks, accepting responsibility and accountability for those tasks

        Able to work independently and make decisions within the scope of responsibilities with a proactive and positive attitude towards working with others in a team environment
