AltaGas - Executive Assistant

Join us as the Executive Assistant to the Chief Safety, Sustainability, and Stakeholder Officer and their dedicated team. In this pivotal position, you will manage expense reports, coordinate calendars, and provide essential administrative support. You will also be the key coordinator for both the Communications and Safety teams, ensuring smooth operations and effective collaboration. This role is perfect for a proactive, detail-oriented professional who thrives in a dynamic environment and is passionate about advancing sustainability and stakeholder engagement initiatives.

You Will:

  • Manage expense reporting and ensure timely submission and reconciliation

  • Coordinate and manage calendars, scheduling meetings, and appointments

  • Provide general administrative support, including preparing documents, reports, and presentations

  • Plan and organize offsite meetings and events

  • Manage the posting of news stories and content on the employee intranet

  • Support governance across the site by ensuring content is accurate and up-to-date

  • Assist in the posting and distribution of internal communications content, including employee emails through the newsletter tool and digital signage

  • Work with HR and Digital teams to ensure distribution lists are current and accurate

  • Support the coordination of company events, including Townhalls, lunch and learns, and information sessions

  • Assist in the planning and execution of events to ensure they run smoothly and efficiently

  • Support executive and Board of Director field tours

You Have:

  • Proven experience as an executive assistant or in a similar administrative role

  • Strong organizational and time-management skills

  • Excellent written and verbal communication skills

  • Proficiency in Microsoft Office Suite and other relevant software

  • Ability to work independently and as part of a team

  • High level of discretion and confidentiality

  • Experience coordinating events and working in a fast-paced, ever-changing environment

  • Familiarity with intranet management and digital signage tools

  • Event planning and coordination experience
