JOB DESCRIPTION

The Administrative Services Manager is responsible for overseeing the efficient operation of essential office support services, including the Mail & Shipping Center, Copy and Print Center, Office Supply Center, and local courier services. This role ensures smooth daily operations, manages service contracts, supervises staff, and implements policies to enhance productivity and cost-effectiveness. The ideal candidate is detail-oriented, process-driven, and committed to providing high-quality support services to internal and external stakeholders.
ESSENTIAL DUTIES
Mail/Shipping/Support Service Center Management

  • Oversee inbound and outbound mail, shipping, and receiving operations.
  • Manage relationships with postal and shipping service providers.
  • Develop policies and procedures for efficient mail handling and delivery.
  • Oversee local courier service operations, establish and monitor performance metrics for courier vendors.
  • Manage the Support Services Desk which includes calls on ordering shipping supplies, cleaning & maintenance requests.
  • Ensure compliance with organizational policies and relevant regulations for mail, shipping, and document handling.
  • Implement safety protocols for mail and package handling to mitigate risks.
     

Outsourced Vendor Copy and Print Center Oversight

  • Supervise print and copy services, ensuring timely and high-quality output.
  • Maintain and service printing and copying equipment, coordinating vendor support as needed.
  • Monitor supply levels and optimize printing costs.

Office Supply Center Coordination

  • Manage procurement and inventory of office supplies to ensure availability while minimizing waste.
     

Budgeting and Cost Management

  • Prepare and manage budgets for administrative services, ensuring cost-effective operations.
  • Identify opportunities for cost savings and process improvements.

SKILLS NEEDED TO BE SUCCESSFUL 

  • 5+ years of experience in administrative services, facilities management, or related operations roles.
  • Strong leadership and team management skills.
  • Excellent organizational, problem-solving, and communication skills.
  • Knowledge of mailroom automation and logistics software.
  • Experience negotiating vendor contracts and managing budgets.

  • Ability to identify and solve administrative service-related issues.
  • Proficient in Microsoft Office Suite.
  • Prolonged periods sitting at a desk and working on a computer.
