The Earth System Modelling and Data Assimilation - ESYDA Division and Climate Variability and Prediction – CLIVAP Division at the Institute for Earth System Predictions (IESP), based in Bologna, are looking for an Administrative Support to the Division Managers. The required profile is a talented and enthusiastic individual, with the ability to recognize priorities and solve problems efficiently, responsible for supporting the Division Managers in: providing full administrative and financial support to project management, such as managing budgeting spreadsheets, purchasing procedures, monthly timesheets, preparation of administrative reports, mission management, collaboration with ESYDA and CLIVAP researchers for administrative information collection, maintaining research awards financial accounts, etc.

ROLE
The Administrative Support reports to the ESYDA and CLIVAP Division Managers and is responsible for supporting them in: providing administrative and financial support to Divisions and project management.
RESPONSIBILITIES

The Administrative Support will support the ESYDA and CLIVAP Division Managers, with:
  • managing budgeting spreadsheets,
  • purchasing procedures,
  • monthly Timesheets,
  • administrative Reports,
  • mission management,
  • administrative information collection,
  • local support during the immigration process of new hire extra EU researchers, etc.


REQUIREMENTS

  • High School Diploma in Administration Finance & Marketing and 3 years of work experience in the Administrative area or Degree in Economics (or equivalent subjects) with minimum 2 years of work experience in the Administrative area,
  • very good knowledge of the English language,
  • accuracy and good analytical skills,
  • proficiency in basic computer skills (excellent knowledge of Excel) and accounting software (SAP Accounting software knowledge is an advantage),
  • management and organization of agendas and deadlines,
  • professional and pleasant personality with good written and verbal communication,
  • interest in working in a multidisciplinary/international team,
  • able to work effectively, even under pressure,
  • demonstrable capability to work independently and within a team,
  • multitasking mindset.


DURATION, COMPENSATION & BENEFITS
 

  • Please note that this job opportunity will be issued both internally and externally to CMCC.
  • The job position is located in Bologna CMCC office.
  • Two-year renewable contract and gross annual salary will be based on qualifications and working experience.
  • Welfare package, for minimum 12 months contract.
  • Flexible working time as per internal policies.
