POSITION OVERVIEW & PURPOSE

The Workshop Administrative Assistant will report to the Manager of Operations and will be responsible for executing key administrative tasks critical to keeping our production facility running at peak efficiency. Primary responsibilities of this role will be timely and accurate data entry of all inventory movements into our ERP system and the coordination of inbound and outbound shipments. In addition, you will play an integral role in supporting the broader team through supply ordering, appointment scheduling, and coordination with external vendors and service providers as needed.

ESSENTIAL DUTIES & RESPONSIBILITIES

Operations Support & Data Entry

● Support the operations team in managing inventory using Netsuite. You will create Work Orders and Transfer orders in a timely manner for all products produced, ensuring accurate inventory at all times.
● Ensure appropriate documentation for all wholesale orders, including fulfillment in Netsuite and invoicing through various vendor owned systems.
● Assist with label and document printing as needed to support with production and outbound shipments.
● Schedule freight for any inbound/outbound shipments, ensuring competitive pricing from freight carriers while balancing due dates and lead times to make informed, timely decisions.
● Monitor the status of inbound shipments and proactively flag any delays or issues that may prevent timely deliveries.
● Support with the pack out of influencer shipments as needed.

Team & Facility Administration

● Order snacks and supplies for the break room, circulating a request list as needed.
● Support in coordinating team events, including placing food & beverage orders and managing logistics for delivery/pick up.
● Schedule appointments and coordinate with external service providers as needed to support ongoing maintenance of the facility.
● Support with maintaining a neat, tidy, and organized facility.

QUALIFICATIONS

● Excellent organizational skills and strong attention to detail to maintain high levels of accuracy
● Ability to work efficiently under tight timelines and achieve quality results, while juggling competing priorities
● Basic mathematical skills and strong problem solving abilities
● Experience with billing, invoicing, and other administrative tasks 

● Familiarity with ERP systems (NetSuite strongly preferred)
● Proficiency in Microsoft Office Suite, Google Suite, and other office management software

● Strong communication skills, both written and verbal, for effective collaboration with internal teams and external partners.

● Ability to adapt quickly and troubleshoot in a fast-paced environment.

SCHEDULE

● Part-time to start, with potential for increased hours over time.

● Available Shifts: 9am - 1pm or 2pm-6pm, M-F, with flexibility to meet changing business needs.
