The Role:

Arine is seeking a Workplace Experience Coordinator to oversee day-to-day operations related to our San Francisco office, employee experience, and culture. The Workplace Experience Coordinator aims to create an employee experience that reflects our company needs, promotes productivity and connectedness, and provides a positive experience for all employees remotely and in person. The ideal candidate will have experience working in a fast-paced start-up environment and is tech-savvy. This position will report to the People Operations Administrator and will be on site 2-4 days a week in San Francisco. From organizing in-person and virtual events to maintaining office amenities, you’ll play a key role in ensuring our workplace is inclusive, organized, and engaging. 

What You'll be Doing:

  • Office Management & Operations
    • Oversee the daily operations of the office, ensuring lunch orders are placed in a timely manner and all office supplies are fully stocked and organized
    • Manage all office supplies, swag, keycards, facilities, and services to support employee and visitor needs
    • Act as the main point of contact for any office-related issues or requests from employees, leaders, and building management
    • Liaise with vendors to manage office services such as cleaning, maintenance, catering, and deliveries
    • Ensure that the office environment meets health and safety standards
    • Assist with organizing executive calendars, communicating with external stakeholders and candidates in a timely and professional manner
    • Provide additional support for any ancillary company administrative tasks
  • Employee Engagement & Experience
    • Plan, budget, organize, and execute employee engagement activities, events, on-sites/off-sites, board meetings, and celebrations to promote team building, including coordination of meals, and equipment set up and testing
    • Facilitate employee feedback and provide recommendations to enhance the overall workplace experience
  • Culture, Community Building, & Recruiting
    • Assist with coordinating interviews, onboarding, and candidate experience improvements with the recruiting team 
    • Promote and maintain a culture of inclusivity, collaboration, and open communication within the office
    • Support the People Team in company-wide initiatives related to employee engagement, experience, recruiting, and retention

Our Ideal Candidate Possesses:

  • 2-3 years of experience in an office management, administrative, or event coordinator role (preferred)
  • Excellent communication and interpersonal skills, with the ability to engage with employees at all levels
  • Ability to keep sensitive information confidential
  • Strong organizational skills and attention to detail
  • Ability to manage multiple tasks and prioritize in a fast-paced environment
  • Proficiency in office software (e.g., Google Workspace, Zoom, Slack, etc.) and third-party consumer sites (e.g., DoorDash, Ez-Cater, Instacart, Amazon, FedEx, etc.)
  • A passion for creating a positive, engaging workplace
  • A willingness to get creative and be resourceful to find solutions.

Travel and Other Information:

  • Ability to commute to our office on Market Street in San Francisco at least 2-4 days/week

The posted range represents the expected hourly rate for this position and does not include any other potential components of the compensation package, benefits, and perks. Ultimately, the final pay decision will consider factors such as your experience, job level, location, and other relevant job-related criteria. The hourly pay rate for this position is: $28-34/hour.

Job Requirements:

  • Ability to pass a background check
  • Must live in and be eligible to work in the United States

Information Security Roles and Responsibilities:

All staff at Arine are expected to be part of its Information Security Management Program and undergo periodic training on Information Security Awareness and HIPAA guidelines. Each user is responsible to maintain a secure working environment and follow all policies and procedures. Upon hire, each person is assigned and must complete trainings before access is granted for their specific role within Arine.
