Job Description

The Workplace Experience Administrator will play a crucial role in overseeing two distinct portfolios within the workplace experience profile: Wellness and the Experience Hub, contributing to a vibrant, engaging, and healthy workplace.

  • Wellness Portfolio: Focuses on promoting employee well-being by designing and coordinating wellness programs and activities. The administrator will be responsible for implementing health and wellness initiatives, organizing workshops, and fostering a positive work environment to enhance employee satisfaction and productivity.
  • Experience Hub Portfolio: Involves managing office services, events, visitor hospitality, and supporting the Experience Hub. The administrator will ensure seamless operations, provide exceptional support to employees, clients, and visitors, while also handling key administrative functions, including occasional reception coverage.

Wellness Portfolio

  • Design and implement wellness programs tailored to meet employee needs, focusing on holistic health.
  • Conduct assessments to identify organizational wellness interests.
  • Plan wellness activities such as workshops, fitness classes, health screenings, and mental health seminars.
  • Coordinate logistics, including venue selection, scheduling, and vendor management for wellness initiatives.
  • Develop and execute communication strategies to promote wellness programs via newsletters, posters, and digital platforms.
  • Engage employees through feedback surveys to enhance wellness offerings.
  • Collaborate with internal teams and external vendors to enhance wellness offerings.
  • Build partnerships with health professionals, wellness experts, and other organizations for additional resources.
  • Assist in managing the budget for wellness programs, ensuring cost-effectiveness and providing expenditure reports.
  • Monitor program effectiveness and generate regular updates for reporting.

Experience Hub Portfolio

  • Manage the Experience Hub, ensuring positive and memorable experiences for employees and visitors.
  • Provide occasional reception coverage, serving as a welcoming and professional point of contact for visitors.
  • Serve as the primary point of contact for workplace-related inquiries and issues.
  • Provide support on workplace matters, including office facilities, equipment, and access.
  • Collaborate cross-functionally to resolve workplace-related concerns.
  • Plan, organize, and execute workplace events, ensuring seamless coordination with internal and external stakeholders.
  • Collaborate cross-functionally to plan and execute events that enhance employee engagement and promote a positive work culture.
  • Identify opportunities to improve employee engagement and overall workplace morale.

Qualifications

  • Minimum of 3 years of experience in a similar role within a medium to large organization in Singapore, with a focus on wellness activities and administrative support.
  • Proven experience in planning, implementing, and overseeing wellness programs and activities, along with providing administrative support for workplace experience functions.
  • In-depth understanding of health and wellness trends, including mental health and employee well-being initiatives.
  • Proficient in Microsoft Office Suite, adaptable to modern technology, and quick to learn in-house software and applications.
  • Strong problem-solving and decision-making skills, with the ability to think critically and address issues effectively.
  • Demonstrates discretion in managing confidential information and strictly adheres to confidentiality protocols.
  • Flexible and proactive, capable of managing shifting priorities, and able to work independently with minimal supervision.
  • Excellent organizational skills, with the ability to handle multiple projects simultaneously and deliver results within deadlines.
  • Strong interpersonal and communication skills, fostering productive collaboration with internal and external stakeholders.
  • Skilled in business writing and verbal communication, with the ability to communicate clearly and effectively in an English-speaking environment.
  • High level of initiative and self-motivation, able to anticipate needs and take ownership of tasks.
  • Experience in managing events and supporting visitor hospitality services is a plus.
