Madrigal is a biopharmaceutical company pursuing novel therapeutics for non-alcoholic steatohepatitis (NASH), also known as metabolic dysfunction associated steatohepatitis (MASH). Our first therapy, Rezdiffra (resmetirom), was granted accelerated approval by the U.S. Food and Drug Administration (FDA) for the treatment of adults with NASH with moderate to advanced liver fibrosis (consistent with stages F2 to F3 fibrosis) and is being studied in a Phase 3 trial for the treatment of NASH with compensated cirrhosis.
Role Overview:
Workplace Administrator
We are looking for a proactive and detail-oriented Workplace Administrator to be the welcoming face and organizational hub of our office. The ideal candidate will have excellent multitasking abilities, strong calendar management skills, and a proven ability to support administrative needs.
This role is vital in maintaining the smooth day-to-day operations of the office, providing exceptional service to clients and staff, and acting as a backup for the Executive Administrator. This individual will act as a concierge and will ensure that all employees and visitors receive top-tier assistance, whether coordinating travel, arranging accommodations, or enhancing the overall workplace experience.
Position Responsibilities:
- Front Desk Management: Serve as the first point of contact for visitors, clients, and staff; greet guests with professionalism and warmth.
- Calendar Management: Maintain and coordinate the company calendar, including scheduling meetings, appointments, and managing room reservations.
- General Accounting Support: Assist with generating invoices, tracking expenses, and basic financial record-keeping tasks.
- Lunch Orders: Coordinate and manage lunch orders for meetings, events, and staff, ensuring timely delivery and accurate billing.
- Administrative Support: Act as a backup for the administrative support team, providing seamless administrative support when required.
- Administrative Tasks: Handle data entry, filing, and preparation of documents with a high level of accuracy and confidentiality.
- Office Coordination: Monitor office supplies and coordinate with vendors as necessary to ensure the office runs efficiently.
- Communication: Respond to internal and external communications promptly and professionally, ensuring excellent client and team communication.
Qualifications and Skills Required:
- Bachelor’s degree or relevant years of experience.
- 2+ years of administrative experience preferred
- Proven experience in a receptionist, administrative assistant, or office coordinator role.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and calendar management tools.
- Familiarity with accounting software (e.g., Concur/Coupa) and invoicing processes is highly preferred.
- Strong organizational skills with the ability to multitask and prioritize in a fast-paced environment.
- Excellent verbal and written communication skills.
- Professional and friendly demeanor, with a focus on providing exceptional customer service.
- Comfort level with 5 days a week in office.
- Preferred Skills:
- Previous experience supporting executives or acting as a backup for executive administration.
- Knowledge of event coordination and logistics.
Compensation:
Base salary is determined by several factors that include, but are not limited to, a successful candidate's qualifications, skills, education, experience, business needs, and market demands.
