As Senior Office Manager, you will play a crucial role in ensuring smooth office operations, fostering a welcoming and efficient work environment, and supporting our team in the US. You will take ownership of workplace management, vendor coordination, and office experience while collaborating with global teams to align workplace strategies.


IN THIS ROLE YOU WILL:

  • Oversee all office operations, ensuring a seamless and efficient workplace experience for employees and visitors.
  • Manage vendor relationships, negotiate contracts, and oversee office-related procurement, including supplies, equipment, and services.
  • Develop and implement office policies and procedures to enhance efficiency and maintain compliance with local regulations.
  • Take ownership of workplace budgets, including forecasting and expense tracking for office-related costs.
  • Serve as the key point of contact for all facility-related matters, liaising with landlords, security, and service providers.
  • Support a positive company culture by organizing office events, celebrations, and engagement activities in collaboration with global teams.
  • Ensure the office is well-stocked, organized, and provides a comfortable working environment for employees.
  • Collaborate with IT and People & Culture teams to support onboarding, offboarding, and workplace experience improvements.
  • Lead safety, security, and emergency preparedness efforts to ensure a safe and compliant work environment.
  • Identify opportunities for process improvements and workplace enhancements.

Schedule:

This role requires you the be physically present in our New York City office Monday to Friday from approximately 9am until 6pm. 


WHAT YOU BRING TO THE TABLE:

  • 5+ years of experience in office management, workplace operations, or a similar role in a fast-paced environment.
  • Independent and self-sufficient, able to take full ownership of office operations despite the time difference with Berlin-based leadership.
  • Strong project management and organizational skills, with the ability to juggle multiple priorities and solve problems proactively.
  • Experience with vendor negotiations, contract management, and budget tracking.
  • Excellent interpersonal and communication skills, fostering a welcoming and professional office environment while effectively managing relationships with internal and external stakeholders.
  • Tech-savvy, experienced using Slack, Notion, Miro, Jira, GSuite, and Asana to streamline workplace operations.
  • Knowledge of New York workplace compliance, safety, and security regulations.
  • A hands-on, proactive approach with a passion for creating an exceptional office experience.
  • Experience managing office moves, expansions, or large-scale workplace projects is a strong plus.
