Job Description
Ingram Content Group (ICG) is hiring a Trade Show & Events Coordinator to contribute to our team. This person will be based in our Lavergne, TN office in the greater Nashville area.
In this role, you will work under the direct supervision of Manager and support Trade Show and Events team to plan and implement details for assigned events and functions. You’ll coordinate specific tasks within larger projects. You will also perform varied administrative functions such as: database management and data entry, hotel reservations, conference registrations, catering setup, promotional item and storage area inventory maintenance, event documentation. As the Coordinator, you’ll be responsible for performing various physical tasks in a warehouse environment as well.

Required Qualifications:
- High school diploma or GED
- 1 year of meeting planning and/or event coordination experience in a professional environment
Preferred Skills:
- Strong organizational skills
- Experience managing lots of details
- Good time management skills
- Must be able to lift cartons weighing up to 30 pounds on a regular basis
Key Responsibilities:
- Coordinates aspects for assigned events within a specified budget and following established guidelines.
- Provides administrative support for the other team members with event planning tasks and projects as requested. Included, but not limited to shipping logistics, event software administration, maintaining records of bookings, assisting with event set-up/dismantle, keeping up with departmental needs.
- Maintains expense reporting and assists in budget process. Processes invoices, check requests, and payments.
- Places orders with vendors to fulfill event requirements and department supplies.
- Maintains event databases and ensures accuracy and timeliness of all information. This includes but not limited to coordinating our event materials inventory, storing and organizing materials in our warehouse.
- Communicates with associates, clients, and publishers to confirm information and plans.
- Maintains and or creates necessary documentation for communication of events and association information.
- Maintains accurate software entries for event information for assigned events and as requested by other team members while adhering to established processes.
- Coordinates the event kitchen including inventory, cleaning, stocking.
