Position Overview
To support patients in need, we are expanding our Kite Supply Chain team in Tokyo, Japan. We are seeking a highly motivated individual to join our APAC Supply Chain team as Supply Chain Coordinator (or Sr. Supply Chain Coordinator, depending on qualification of the applicants), reporting to the Head of Supply Chain Japan.
In this critical role, you will be responsible for managing patient orders and related shipments for patients being treated in Japan. Working closely with a wide range of internal and external business partners, you will be a key point of contact for coordinating patient orders from end-to-end perspective.
As APAC region is considered as one of the strategic growth markets for Kite, roles and responsibilities of the role may expand in future in line with the growth strategy.
Working condition will be aligned with Gilead Policies. It is expected that you will be reporting into the office 2-3 days a week minimum especially during the initial onboarding phase.
Job Responsibilities:
- Day-to-day operation duties:
- Coordinates all aspects of Kite’s commercial cell order process for patients’ cell orders from Japan (inc. monitoring and manual intervention where needed)
- Perform booking and managing orders in Kite’s Oracle EBS Enterprise Resource Planning system
- Manage courier shipments and communicate with external parties (e.g. TSPs, Customs broker, suppliers of LN2 shippers, wholesaler)
- Manage order scheduling of all patient orders in close collaboration with relevant stakeholders
- Order-to-cash related activities including invoice initiation after proof of delivery
- Monitor the statuses of patients’ shipments and pro-actively work with logistics services providers to resolve any (potential) delays/issues to prevent for any delays in patients’ orders/shipments
- Support activities related to footprint expansion of treatment centers
- Reporting, Escalation, Incident management
- Attend periodic meetings as assigned
- Closely collaborate with internal/external stakeholders to resolve any issues with patients’ orders
- Register any issues with logistics services providers in Kite’s Supply Chain’s system
- Attend periodic operational review with logistics services providers
- Support any trade compliance matters related to patients’ orders/shipments
- Initiate, classify, investigate, and close (major) deviations & CAPAs
- Timely escalation of issues to operational leadership
- Operational Excellence, L&D
- Identify, execute, and realize continuous improvement opportunities
- Actively engage in any opportunities for driving Operational Excellence within the team
- Own your L&D plan and execute plan accordingly

Minimum Education and Basic Qualifications:
- BS/BA/MS/MA Degree with +5 years’ experience with strong background in Supply Chain/Logistics/Customer service
- Business-level proficiency in English (in addition to Japanese)
- Excellent interpersonal, verbal, and written communication skills
- Outstanding organizational and inter-personal skills with the ability to work cross-functionally and independently with minimum supervision.
- Comfortable with working in a fast-paced, agile, and lean environment within global matrix organization
- Strong problem-solving skills and Kaizen mindset
- Ability to deal with ambiguity.

Preferred Qualifications:
- 5+ years of relevant experience in the heavily regulated industry (e.g. biotech/pharmaceutical/life-sciences/medical devices), including order management, logistics, import/export, control tower and/or customer service
- Basic knowledge of GMP/GDP/GCTP
- Experience with cold-chain logistics regardless of the industry
- Experience with Enterprise Resource Planning (ERP) systems (preferably Oracle EBS and/or SAP)
- Familiarity with Vault Quality Management Suites or any other QMS tools
- Familiarity with BIA (Business Impact Assessment) and/or BCP (Business Continuity Plan)
