We're looking for a Subscription Project Manager to join our team!

Role Overview:
The Subscription Project Manager will oversee the planning, coordination, and execution of subscription-related projects for Aroma360, Hotel Collection, Hotel Scents, and international markets. This role ensures seamless cross-functional collaboration and the successful delivery of initiatives on time and within budget. Key responsibilities include managing Asana workflows, maintaining organized shared files, tracking progress, and fostering alignment between Marketing, Creative, Tech, Operations, and Retail teams. The ideal candidate is highly organized, detail-oriented, and skilled at driving projects to success in a fast-paced environment.

Key Responsibilities

Project Workflow Management:

  • Oversee Asana workflows, ensuring tasks, timelines, and priorities are clearly defined, updated, and tracked.
  • Facilitate follow-ups on outstanding tasks and ensure accountability to maintain momentum and meet deadlines.

Shared File Organization:

  • Create and maintain a shared file system to streamline collaboration.
  • Ensure all teams have access to the most up-to-date project documents, assets, and deliverables.

Timeline and Budget Oversight:

  • Monitor project schedules and budgets to ensure deadlines and financial parameters are met.
  • Identify potential risks, delays, or budget overruns early and propose solutions to mitigate them.

Administrative Support:

  • Provide support such as data entry, documentation, and report preparation to ensure seamless project execution.

Cross-Functional Collaboration:

  • Serve as the central point of coordination between Marketing, Creative, Tech, Operations, and Retail teams.
  • Facilitate communication, resolve bottlenecks, and ensure alignment on subscription initiatives.

Process Optimization:

  • Continuously evaluate and improve project management processes and workflows to increase efficiency and reduce redundancies.

Status Reporting:

  • Generate and share regular updates, reports, and summaries on project timelines, budgets, and deliverables.
  • Keep stakeholders informed and aligned on progress and outcomes.

Key Competencies

  • Project Management Expertise: Proficiency in Asana or similar tools for managing complex workflows and multiple projects.
  • Organizational Skills: Strong ability to maintain order across timelines, budgets, and deliverables.
  • Communication & Collaboration: Exceptional interpersonal skills to coordinate across departments and drive accountability.
  • Detail Orientation: A proactive approach to identifying and addressing potential risks or issues early.
  • File Management Knowledge: Familiarity with Google Workspace, Dropbox, or OneDrive for effective shared file organization.
