We are seeking a dedicated and detail-oriented Staff Analyst to join our dynamic team. In this role, you will work closely with the Director of Budgets and Accounts Payable, contributing to essential tasks such as Accounts Payable, Corporate Card administration, budget development, and financial reporting.
SUPERVISORY RESPONSIBILITIES
- This position has no supervisory responsibilities.
DESCRIPTION OF DUTIES/ESSENTIAL FUNCTIONS
Assist Director Budget & A/P with accounts payable function. This includes but is not limited to:
- Reviews and approves invoice data and payment entry
- Initiate wire payments
- Backup Accounts Payable Specialists,
- Reviews and approves expense statements for consultants
- Analyze insurance, fuel, and utility billings and allocations
- Prepares reconciliations
- 0099 reporting
- Assists in the annual audit and provides analysis and supporting documents as requested
Assist in administration of Corporate Card program, including:
- Issuance of new cards
- Research bank programs
- Ad hoc reporting requests
- Training employees in program
- Respond to inquiries
- Monthly reporting
- Timely and accurate recording of transactions in the accounting system
Assist with budget preparation and administration. This includes but is not limited to:
- Maintains budget software
- Conducts refresher/new training class for the use of budget software
- Prepares and maintains various budget presentation reports
- Trains staff on budget software
- Meets with department budget coordinators and outside vendors as necessary
- Closes month end in A/P sub-ledger and generates management reports
- Prepares MFOR at summary level as well as replicated to department level
- Other duties and special projects as needed
EDUCATION AND EXPERIENCE
- Minimum of Associate's Degree in Accounting with 5 years accounting/bookkeeping experience, or a Bachelor’s degree in Accounting, Finance or Management.
KNOWLEDGE, SKILLS, AND ABILITIES
- Handle matters efficiently and proactively, ensuring projects are completed successfully, often under tight deadlines.
- Manage sensitive information with the highest level of confidentiality, diplomacy, and discretion.
- Be forward-thinking and solutions-oriented, anticipating needs and addressing issues promptly.
- Experience with ERP systems is required, with a preference for candidates who have worked with Microsoft Dynamics AX 2012/D365 or higher.
- Familiarity with budget software is preferred, particularly with Budget Maestro.
- Possess excellent written and verbal communication skills.
- Exhibit strong mathematical and analytical abilities.
- Maintain a strong attention to detail and thorough follow-up.
- Interact effectively with individuals at all levels within the organization.
- Be capable of effectively multitasking in a fast-paced work environment.
