About the Role:
The Sr. Executive Assistant to the CEO plays a crucial role in ensuring the smooth operation of the executive's daily activities and overall business functions. The ideal candidate has strong technology, organizational, and communication skills and will provide a senior-level administrative partnership with the new CEO leading a well-established tech company in Chicago to support function for the dynamic leader of this global organization.
About the job:
- Administrative Support: Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements. Handle correspondence, including emails, phone calls, and mail.
- Meeting Coordination: Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items. Ensure the CEO is well-prepared for meetings with relevant materials and information
- Project Management: Assist in managing and tracking key projects and initiatives. Coordinate with various departments to ensure project deadlines are met.
- Communication: Serve as a liaison between the CEO and other executives, employees, and external stakeholders. Draft and review communications on behalf of the CEO.
- Confidentiality: Handle sensitive information with the utmost discretion and confidentiality. Maintain confidentiality of all corporate, personnel, and research matters.
- Strategic Calendar Management: Coordinate and schedule domestic and global meetings in a proactive manner
- Relationship Management: Foster and maintain relationships with various stakeholders
- Creative Problem-solving: Address challenges with innovative solutions
- International and Domestic Travel Management: Arrange travel plans for the CEO
- Event Management: Organize and manage events
About You:
- Bachelor's degree or equivalent experience
- A minimum of 10 years of global and Senior-level / C-Suite executive support experience.
- Proficient in technology –e.g., Microsoft Office Suite and other collaborations tools.
- Proven ability to anticipate needs, managing multiple priorities, project management, administrative coordination, and logistics; demonstrate solid good problem-solving capabilities and strategic management.
- Excellent organizational and time-management skills. Strong written and verbal communication abilities.
- Strong interpersonal skills and the ability to work well with various stakeholders.
- High level of professionalism and discretion. Ability to maintain confidentiality
- High emotional intelligence and the ability to handle various situations calmly.
- Comfortable working in dynamic environment.
- Self-directed and Proactive Focus: Liberate executive time as much as possible
