Job Description
The Complex Accounts Specialist role is part of the New Accounts team, under Operations, at iA Private Wealth. Reporting directly to the Manager of New Accounts, this role plays an integral part in supporting account opening, updates and advisor team education by.
Description of Role

Review and approve non-individual (corporation, trust, partnership, estate) account opening or update documentation.

Support advisor teams by email or phone with questions regarding documentation for non-individual account types (or any other more complex situations relating to client accounts and documentation).

Review and assist in answering questions about offshore accounts and whether clients in an offshore jurisdiction may open an account. This will include making phone calls to the advisor team and receiving calls from the advisor team.

Manage the Complex Accounts general email box and respond to advisor queries within published SLA’s. This will include making phone calls to the advisor team and receiving calls from the advisor team.

Escalate to the Manager of New Accounts as needed if an advisor or client request is urgent.

Review, analyze and approve Powers of Attorney for use in managing client accounts.

Provide guidance and education to advisor teams about the proper legal use of a Power of Attorney (example: helping the advisor understand what the attorney is permitted to do under law). This will include making phone calls to the advisor team and receiving calls from the advisor team.

Receive and provide information or statements for any CRA notices (garnishment, bankruptcy, etc.).

Act upon receipt of advisor code changes (example: address changes, etc.) to ensure that National Bank updates their database to ensure dealer statements are issued with correct advisor contact information.

Prepare documentation (as needed) to ensure advisor code changes are made accurately and on time with National Bank partners.

Collaborate with New Accounts and Operations team members to document policies, processes and reference materials related to Complex Accounts.

Collaborate with Senior Operations Documentation Specialist to update and add content to advisor intranet site (Wealth Link) to assist advisor teams in understanding documentation requirements and policies.

Participate in adding content to weekly advisor newsletter (as needed).

Participate in monthly Operations calls, hosted for advisor teams on updates related to Operations.

Participate actively in a Lean environment, by contributing to daily DMS huddles and lean methodology for streamlining and improving processes.

Process the FATCA audit every month.
Qualifications
-
2-5 years’ experience in a similar role within an IIROC firm.

Full understanding of account opening processes and familiarity with account opening documentation.

Understanding of the following:
-
FINTRAC guidance associated with AML
-
IIROC rules to support opening and documenting of accounts.
-
General understanding on all type of document Registered plan and non-registered plan such as MARGIN, FHSA, RESP, RDSP, etc.….

Principles associated with FATCA and CRS and how these are documented.

General understanding of Powers of Attorney and the Substitute Decision makers act

General understanding of Wills and Trust deeds, as they relate to identifying people with authority

Experience working at an IIROC dealer is preferred.

Strong computer software skills (Outlook, Word, Excel, etc.).

Candidate must be fluent in both French and English.

Excellent communication skills (both written and verbal).

Strong emphasis on client service and ensuring the advisor and client experience is a positive one.

Ability to manage difficult conversations with advisor teams to ensure that firm policies are followed.

Able to work independently and as part of a team.

Ability to prioritize work based on importance or deadlines.

Ability to work effectively from home or the office.
