Job Title:Site Operations Specialist, HTC
Summary:The HTC Operations Specialist plays a key role in ensuring the seamless functioning of the R&D site by managing daily operational activities, supporting research projects, and maintaining a productive office environment. This role involves coordinating office supplies, supporting project tracking, facilitating site maintenance, and ensuring compliance with lease agreements and facility service contracts.
Responsibilities Include:
1. Site Operations Management
- Coordinate the day-to-day operations of the HTC site, including office and laboratory environments.
- Ensure the availability and distribution of office and lab supplies, equipment, and consumables.
- Manage inventory systems to track supplies and procurement activities.
2. Technology Project & Audit Support
- Support project teams by monitoring milestones, timelines, and deliverables.
- Provide logistical and administrative assistance to ensure the efficient progress of research activities.
- Prepare and maintain reports and records related to project activities.
3. Facility and Maintenance Coordination
- Monitor site facilities to ensure cleanliness, safety, and functionality.
- Schedule and oversee regular maintenance activities for utilities and lab equipment.
- Coordinate with external vendors and contractors for repairs and upgrades.
4. Lease and Contract Management
- Assist in maintaining lease agreements and ensuring compliance with contractual obligations.
- Support the negotiation and renewal of service contracts for facilities, cleaning, and security.
5. Financial and Administrative Support
- Assist with budget tracking, expense reporting, and invoice processing for site operations.
- Work with the finance team to ensure accurate and timely financial records.
- Maintain documentation and records related to site operations and Technology support activities.
6. Health, Safety, and Compliance
- Ensure adherence to health, safety, and environmental regulations at the site.
- Support audits, inspections, and compliance initiatives to maintain a safe working environment.
- Provide training and guidance to staff on site policies and safety protocols.
7. Cross-Functional Collaboration
- Work closely with HTC teams, MFG admin staff, and other departments to address operational needs.
- Act as a point of contact for site-related inquiries and concerns.
- Support HTC recruiting process & interview process.
- Support onboarding for new employee and training processes for HTC team.
- Visitor protocol.
Qualifications:
The following are required for the role
• Bachelor’s degree in Business Administration, Operations Management, or a related field (or equivalent experience).
• Previous experience in site administration, site facilities management, or a similar role.
• Experience in R&D environment to support R&D team is a plus.
• Good English communication capability.
• Certifications in facilities management, safety compliance, or project coordination are a plus.
