About ProBio
ProBio proactively provides end-to-end CDMO service from drug discovery to commercialization with proactive strategies, professional solutions and efficient processes in cell and gene therapy (CGT), vaccine, biologics discovery and antibody protein drug to accelerate drug development for customers. ProBio’s total cell and gene therapy solution covers CMC of plasmid and virus for IND filing as well as clinical manufacturing and commercial manufacturing. In terms of plasmid service, ProBio supports the most clinical approvals for CGT drugs including mRNA vaccines, CAR-T in China. It is also the first GMP manufacturing platform to provide in vitro transcription (IVT) template linearized plasmids for mRNA vaccines and has supported several mRNA vaccine global enterprises to obtain clinical approvals. Job Scope:
- Shipping documents and Manufacturing Declaration confirmation
- Confirm shipping documents with the TAM team, including but not limited to packing lists, and transportation
insurance documents - Draft Manufacturing Declaration documents for AU shipment
- Confirm shipping documents with the TAM team, including but not limited to packing lists, and transportation
- Shipping Execution
- Responsible for receiving and inspecting incoming items to ensure that the quantity and quality are consistent with the order
- Ensure that goods received are processed, documented and tracked in accordance with the company's receiving process
- Confirm and process daily orders, including but not limited to order entry, verification, and tracking. Coordinate other transportation-related activities, such as transportation arrangements, warehouse management, etc.
- Pick and pack goods according to order requirements, ensuring the integrity and safety of the goods
- Arrange for the pickup of goods to ensure timely delivery to the destination. Coordinate with transportation suppliers for pickup times and locations to ensure smooth logistics flow
- In charge of handling ad-hoc tasks and assisting in handling other tasks related to the shipping center, administration, etc.
- Forwarder and Broker Management
- Manage and coordinate freight forwarders and customs brokers to ensure timely and cost-effective delivery of goods
- Monitor and analyze freight costs to identify cost-saving opportunities
- Ensure compliance with customs regulations and trade laws
- Track shipments and provide updates to stakeholders
- Resolve issues related to shipping, customs clearance, and delivery
- Inbound and outbound shipment on-time-delivery and tracking
- Monitor and track inbound and outbound shipments to ensure on-time delivery
- Coordinate with carriers and logistics service providers to resolve any issues related to shipment delays or disruptions
- Identify and resolve shipping-related problems, such as inaccurate or missing documentation, damaged goods, and customs clearance issues
- Provide regular updates to internal stakeholders on the status of shipments and delivery schedules
- Collaborate with internal teams, including procurement, planning, and production, to ensure that shipments are aligned with production and inventory schedules
- Compliance
- Manage inbound and outbound delivery process, and shipping guide while ensuring compliance with customs legal and regulatory requirements for import and export
- Follow up customs clearance and maintain the routine transactions data for audit by customs or other local authorities
- Work with the APAC or global logistics teams to follow the compliance transactions. Verify the routine import and export transaction data. Identify risks and report to the superior
- Customs and Government Agency alignment
- Understand the customs and other government agency regulations that apply to their company's operations. This includes regulations related to importing and exporting goods, transportation safety, and environmental protection
- Responsible for communicating with customs and other government agencies to ensure that all necessary documentation is completed accurately and on time. This can include communicating with customs brokers and coordinating with government inspectors
- Project Management
- Planning: Involves creating a project plan that outlines the project's goals, timelines, budget, scope, and resources required to complete the project successfully
- Organizing: Involves identifying and coordinating the resources needed to execute the project plan, such as personnel, equipment, materials, and facilities
- Leading: Involves guiding and motivating the project team to work together effectively towards achieving the project goals
- Controlling: Involves monitoring the progress of the project and taking corrective action when necessary to ensure that the project stays on track and within budget
- Communicating: Involves keeping stakeholders informed about the project's progress, risks, and issues, and ensuring that everyone involved in the project is aware of their responsibilities and deadlines
- Cost Management
- Review freight cost, packaging material cost and all cost related to Logistic. Carefully review transportation costs to ensure compliance with budget and contract terms
- Continuously track logistics costs and record them in the system to ensure data accuracy and timeliness. Upload and analyze cost data to identify opportunities for cost savings and efficiency improvements
- Upload transportation cost data into the company's internal system in accordance with the prescribed format and procedures to ensure accuracy and completeness. Follow up on any issues that may arise during the upload process and resolve them in a timely manner to ensure timeliness and accuracy of data
- Manage the vendor billing process, including reviewing vendor bills and invoices to ensure consistency with contracts and agreements. Coordinate communication with vendors, handle any billing issues and disputes, and maintain good working relationships
Job Requirements:
- Bachelor’s degree and above, majoring in Logistics, Supply Chain Management
- Minimum 5 years of relevant experiences in Logistics, Customs or related field
- Prior experience in Biology/Life Sciences is an added advantage
- Strong understanding of the processes involved in managing the movement of goods and materials, including transportation, warehousing, and inventory management
- Have in-depth knowledge of Australian Customs policies, regulations and procedures
- Good communication and collaborative skills with internal and external stakeholders, including suppliers, carriers, and customers. Ability to collaborate with other departments within the organization to ensure smooth flow of goods and materials
