The Position
We are seeking a Senior Administrative Assistant to provide a wide range of diverse administrative tasks and activities for one of our key scientific disciplines. This role will support three senior level scientists and their perspective organizations. The position involves frequent interaction with internal and external stakeholders, including global employees, and requires excellent communication and organizational skills.
Relationships
Directly supports one or more individuals. Contacts are frequent with individuals representing other departments and/or outside organizations on matters of moderate importance to the function, department, or of a sensitive nature. May interact with global employees.
Essential Functions

  • Global calendar management with several different time zones and office locations
  • Domestic and International travel arrangements and itineraries
  • Prepare, track, and submit expense reports
  • Independently research a variety of information requests and compile reports
  • Direct administrative activities, develop and organize procedures, and communicate effectively to represent the department
  • Perform duties on own initiative, including reviewing and responding to correspondence, and preparing documents/forms
  • Provide administrative support to project teams
  • Carry out routine office duties such as typing, invoicing, record and file maintenance, data entry, meeting/travel arrangements, and event planning
  • Support budget tracking
  • Assist team members with administrative needs, including presentation development and new hire onboarding
  • Perform other clerical/administrative and support duties as required


Physical Requirements
0-10% overnight travel required.
Qualifications

  • High school diploma or GED required
  • Minimum of 4 years of administrative or related experience
  • Demonstrated computer skills and proficiency in Microsoft Office
  • Ability to exercise independent discretion and judgment
  • Excellent communication and customer service skills
  • Attention to detail and ability to handle sensitive and confidential information
  • Strong problem-solving abilities and leadership skills
  • Ability to interact with all levels within and outside of the organization
  • Global calendar management experience and interacting with global counterparts a plus
