Reporting to the Head of Executive Search, this high-visibility role will ensure high-quality candidate engagement, from candidate facing communications to back-end process coordination for Executive talent being considered for employment at Chewy. You will master the candidate lifecycle to include ensuring an excellent candidate experience, owning data and systems management, serving as a candidate concierge as they engage with Chewy during our interviewing and onboarding processes. Your ability to partner closely with the team, Chewy business leaders, and candidates is paramount. We are seeking a highly organized, forward-thinking, customer-centric professional with strong intuition for business and excellent communication and relationship building skills.
What You'll Do:
- Create and implement a comprehensive Executive candidate experience roadmap, driving high priority projects through to completion
- Support on-site interviews for Executive (Director+) candidates, coordinating with Executive Assistants (EAs) supporting senior leaders at Chewy and serving as an in-person liaison for Executive candidates when they visit the Plantation, FL Headquarters (as needed)
- Work closely with the Executive Search Recruiting Coordinator, optimizing workflows to ensure seamless communication between candidates and the recruiting team
- Handle customer concerns from senior leaders and executive candidates and as needed, serve in a coordinator capacity for the most confidential and critical searches
- Schedule reference calls and ensure proper storage of and access to reference notes
- Standardize templates for all Executive Search communications and job descriptions and partner with Talent Marketing teams to ensure the candidate experience aligns with external messaging and values
- Responsible for the Executive Search SharePoint; ensure proper confidential information management and storage
- Coordinate Executive onboarding, liaising between internal teams including Shared Services, Learning and Development, EAs, IT, HR to create a flawless process for new hires
- Coordinate all aspects of the Executive Search candidate WOW program, including inventory management, execution of tickets and tracking
- Build, launch and lead a tracking system for executive referrals
- Review, evaluate and propose tools for research and stay current with industry trends, tools, and best in class practices related to candidate experience and executive search
- Liaise between various cross-functional teams including Executive Administration, Talent Management, Recruiting Coordination, Human Resources and Executive Onboarding
- Independently solving problems in a fast-paced environment
- Handling critical information with a high level of confidentiality and discretion
What You'll Need:
- 5+ years of project coordination, talent operations or related support experience in dynamic and fast-paced environments with at least 3 years in roles working with C-level executives
- Bachelor’s degree in Human Resources, Business, or related field (or equivalent experience)
- A high degree of professionalism with a customer service mentality and strong partner engagement
- Strong project management skills, with the ability to manage multiple initiatives simultaneously
- Positive demeanor with a 'no task too big or too small' mentality
- Strong writing/proofreading skills including grammar, punctuation, and spelling via multiple channels (phone, email, text, chat, and in-person)
- Demonstrate excellent judgment, discretion and sensitivity when interacting with high profile executives and managing confidential information
- Illustrated ability to anticipate roadblocks, handle blocking issues, and optimally run significant priorities
- Make smart and timely decisions; understand when to take charge of a decision and when to involve other parties
- Experience exercising discretion and confidentiality with critical company information
- React with appropriate levels of importance to situations and events that require quick response or turnaround
- Proficient in Microsoft Outlook, Microsoft Office: Excel, PowerPoint, and Word
- Ability to work flexible hours across multiple time zones, depending on the needs of the candidates and the team
- A passion for pets and the improvement of the pet industry and market
