The Senior Administrative Assistant will support the Sales Department in an administrative capacity.
Responsibilities:
- Making travel reservations – flights/hotels/car rental – directions, etc.
- Creating expense reports for Sales personnel, scanning receipts, and making sure they are submitted and processed in a timely manner.
- Scheduling meetings/conference calls for Sales personnel with our senior management and external contacts – securing a conference room as required.
- Manage executives’ calendars.
- Ordering/serving refreshments for meetings – making sure room is clean when meeting is over.
- Organizing off site dinners for client entertainment as necessary.
- Client conventions/tradeshows – taking care of various paperwork/applications/attendance fees – working with our Sales personnel and the convention contacts to make sure all the various details are covered and deadlines met - registering attendees – working with Finance/senior management to get cost approvals and the necessary checks cut – securing hotel accommodations and travel for ISC attendees.
- Working with Marketing to ship booths/literature/giveaways, etc. – ordering door prizes – travel/hotel reservations as required for the meeting - sharing information that attendees from other departments need to also attend the meetings.
- Attendance tracking for Sales – Cambridge and off-site.
- Phone coverage – in Sales and as required elsewhere.
- Handling inquiries from clients when sales person is unavailable – providing the information required or finding someone who can handle the inquiry.
- Putting literature packs together for Sales personnel for use in sales calls and for the various conventions/tradeshows they attend. Working with Facilities to get them delivered to the correct destination.
- Ordering various office supplies for own use and that of the people this person supports.
- Distributing mail/magazines as they are delivered.
Qualifications:
- 10+ years experience supporting others
- Extreme attention to detail and strong organizational skills
- Personable over phone, email, and in person
- A professional, service oriented attitude
- Previous experience supporting a Sales team/organization is desirable.
Education:
- Bachelors degree preferred
