ABOUT YOUR ROLE

We’re seeking a Senior Administrative Assistant, reporting to the two Managing Director and Heads of Risk Management (“heads”), to be an active member of the team, supporting the two heads and initiatives by collaborating with internal colleagues and external contacts.

As a Senior Administrative Assistant, Risk Management, you'll:

General:

  • Support Team heads and coordinate all activities according to priorities such as agenda and calendar management, travel planning, expenses, day to day operations coordination and communications with various stakeholders

  • Book team travel

  • Act as primary contact for external communications, this includes external organizations. coordination for speaking engagements, submissions, industry knowledge sharing

  • Implement and maintain reminder system for Board calendar, procedures and policies amongst other key documents

  • Proactively suggest ways to increase efficiencies and better use support tools (shared drives, collaboration tools, vacation calendars etc.)

  • Plan and coordinate internal and external meetings including materials and meeting documentation (working group, peer meetings, committees, etc.). Compile and send meeting notes to senior executives

Document and Data Management:

  • Ensure quality and consistency in documents for senior management committees and Board: assist in compiling, proofreading and formatting of Board documents

  • Create and format memos and PowerPoints while maintaining library of core documents

  • Liaise and coordinate with other administrative assistants across offices to coordinate availability and timing for Committees and meetings

  • Ensure document management and retention for all deal approbation for documents

WHAT YOU’LL NEED

  • Experience in a similar position, preferably in a financial or other professional environment

  • Advanced knowledge of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams, OneDrive) and the interest and capacity to learn and adapt to new technologies and tools

  • Excellent communications skills both written and spoken in English and French

  • Effective communicator and confident to interact with colleagues of all levels and ability to represent Senior Leaders in a professional manner

  • Aptitude for processing amounts of detailed information with great accuracy and attention to detail by using specific approaches and tools for checking outputs

  • Ability to handle sensitive and confidential information with the highest level of professionalism, discretion and good judgement

  • Excellent ability to prioritize and multitask a wide range of concurrent responsibilities and tasks to support management
