ResMed is seeking an experienced, detail-oriented, energetic administrative professional for an excellent career opportunity as part of the Investor Relations team. This position directly reports to our Chief Investor Relations Officer (CIRO) and provides administrative support for the Investor Relations team.

The Senior Administrative Assistant, Investor Relations provides comprehensive professional project coordination and administrative support requiring tact, diplomacy, and discretion on a variety of complex and sensitive issues across a broad audience. In addition to the essential duties and responsibilities detailed below, the successful candidate will also demonstrate the ability to work effectively with multiple inputs, exercise a high level of attention to detail, and respond proactively with a sense of urgency. They will be able to proactively identify opportunities to make an impact in their function, removing obstacles and delays while demonstrating a high degree of professionalism in a rapidly changing, time-pressured environment.

Let’s talk about Responsibilities:

  • Provides comprehensive support to the department CIRO, including project planning and support, research projects, and regular departmental operations. May also handle some administrative duties and assist in tasks for the CIRO’s direct reports and the broader Investor Relations team.
  • Proactively manage the CIRO’s dynamic calendar and independently schedule appointments; ensure up-to-date communication with all parties impacted by changes; provide excellent effort and follow-through on difficult-to-schedule meetings; endeavor to keep them properly prioritized and find creative ways to solve logistical challenges.
  • Resolve incoming inquiries with the appropriate level of attention and discretion; respond with courtesy and professionalism on the CIRO’s behalf.
  • Proactively identify obstacles to project deadlines, tasks, or events and identify solutions accordingly.
  • Maintain strict confidentiality; tactfully manage external requests for participation in various activities.
  • Compose confidential correspondence, reports, and presentations on behalf of the CIRO for internal and external meetings and conferences. Arrange conference calls within varied worldwide time zones and mutually hectic schedules.
  • Support travel and expense processing, work with travel agencies for domestic and international travel to organize complex travel arrangements; prepare a detailed itinerary and compile documents for travel-related meetings, ensuring the CIRO is prepared for the trip. Create and submit subsequent expense reports in a timely manner.
  • Organize employee engagement for the department, including but not limited to volunteer events, happy hours, monthly birthday cakes, notable anniversaries, and learning hours.
  • Manage and maintain team project trackers, primarily using Monday.com, ensuring the team is proactively engaged and utilizing the platform effectively. Familiarity with Jira is a plus as ResMed may transition to this tool in the future.
  • Utilize IR Insight to pull investor profiles, log meetings and events, and track meeting notes.
  • Manage SharePoint sites, including folder organization, site creation, and ongoing maintenance.
  • Oversee vendor management processes, including researching potential vendors, requesting and reviewing quotes, presenting takeaways to the CIRO, onboarding newly approved vendors, raising purchase requisitions, and monitoring purchase order balances to ensure timely remittance.
  • Identify opportunities for process creation and optimization, ensuring consistency in team operations and diplomatically implementing improvements to enhance efficiency and organization.
  • Order and maintain supplies, file systems, and organizational charts.
  • Additional duties as assigned.

Qualifications, Experience, and Skills:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily and be well-organized, detail-oriented, and able to prioritize and multi-task with great follow-up skills.

  • High school diploma or general education degree (GED) required.
  • Minimum of 7 years of professional experience supporting multiple senior leaders and/or leaders of global functions required.
  • Must have demonstrated experience managing projects for a functional leader.
  • Must have a minimum of 5 years of demonstrated experience coordinating, maintaining, and arranging complex calendars for meetings, appointments, and travel requiring independence, discretion, and the ability to handle sensitive and confidential information.
  • Must have a minimum of 5 years of demonstrated experience planning and organizing functions, meetings, and special events, including preparing agendas, collating/distributing materials, documenting/formatting minutes, and ensuring action items are completed and documented.
  • Demonstrated advanced proficiency in MS Office (Outlook, Word, Excel, Access, PowerPoint, Publisher) and Adobe Professional.
  • Ability to use PowerPoint and Excel to develop complex presentations for leadership use.
  • Understanding of investor relations and/or financial acumen would be helpful but is not required.
  • Experience using project management platforms (e.g., Monday, Jira) is beneficial.
  • Experience working in IR Insight is advantageous but not required.
  • Experience managing SharePoint sites, including folder management and site creation, would be helpful.
  • Vendor management experience, including onboarding and financial tracking, is preferred.
  • A knack for process creation and optimization is highly desirable, given the team’s growing size and varying experience levels.

Individual pay decisions are based on a variety of factors, such as the candidate’s geographic work location, relevant qualifications, work experience, and skills.

 

At ResMed, it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case.  A reasonable estimate of the current hourly wage for this position in the United States is: $35.64 - 44.55.
