The Sales Operations Specialist will play a pivotal role in driving efficiency, visibility, and scalability within our sales organization. Reporting to the CEO and eventually the Head of Sales, you’ll own the day-to-day operational tasks that enable our sales team to focus on what they do best—building relationships and closing deals.
You’ll ensure our CRM is accurate, streamline proposal workflows, manage communication for critical sales events, produce actionable reporting, and help shape the future of our sales strategy.
Key Responsibilities
- Own and maintain the CRM (Pipedrive), ensuring accurate and up-to-date records. Create new leads in the CRM, progress stages and remove old deals.
- Qualify and setup initial sales calls for Directors.
- Regularly audit data for consistency, completeness, and accuracy.
- Build and maintain sales dashboards, reports, and KPIs to provide real-time visibility into performance.
- Deliver insights and recommendations to leadership on pipeline health, forecast accuracy, and revenue trends.
- Collaborate with finance and leadership on monthly and quarterly revenue forecasts.
- Manage proposal templates, pricing structures, and contract documentation to ensure consistency and compliance.
- Coordinate with Legal/Finance/Leadership on contract reviews or custom deal terms.
- Support the sales team in the first draft of proposals, ensuring accuracy and brand consistency.
- QA the final draft of the proposal, looking for typos and other math issues.
- Help support monthly sales breakfasts with potential prospects and referral partners, perform light outreach to generate confirmations, call restaurant locations and send communication to prospects.
- Help support the recruitment of weekly podcast guests for sales through light outreach and prospect communication from a pre-approved list from Ross. Project manage podcast resources getting these live.
- Maintain a library of up-to-date case studies, deliverable examples, blog posts and other assets the sales team need.
- Train and onboard new sales hires on CRM usage, sales tools, and internal processes.
- Develop documentation and SOPs for the sales organization to drive consistency and reduce ramp-up time.
- Coordinate internal and external kickoff meetings post closing.
- Partner with Sales Directors to ensure lead quality, smooth handoffs, and alignment on campaign performance.
- Work closely with Client Success to refine post-sale handoffs, renewals, and upsell opportunities.
- Communicate regularly with senior leadership, providing data-driven recommendations to shape strategy.

Qualifications
- Experience: 2–5+ years in Sales Operations, Revenue Operations, or Sales Administration, preferably in a marketing agency or professional services environment.
- Technical Skills: Proficiency with CRM platforms, ideally Pipedrive, and familiarity with sales analytics/reporting tools.
- Analytical Mindset: Strong data analysis skills; able to interpret metrics, identify trends, and recommend actions.
- Detail-Oriented: You catch the small errors and inconsistencies that make a big difference in final proposals and data quality.
- Process Optimization: You thrive on building and refining repeatable workflows and SOPs.
- Communication: Excellent written and verbal communication skills; able to collaborate effectively with sales, marketing, and leadership teams.
- Adaptability: Comfortable in a fast-paced environment with competing priorities and new initiatives.
Compensation & Benefits
- Base Salary: $55,000-$60,000 (DOE), plus potential bonus tied to team performance.
