THE OPPORTUNITY
The Recruiting Coordinator position reports to the Senior Talent Acquisition Specialist with a dotted line to the Senior Technical Recruiter. The successful individual in this role will support our hiring efforts with a focus on scheduling interviews, providing an exceptional candidate experience, coordinating onsite visits, and supporting our internship program. The Recruiting Coordinator will also assist in administrative tasks to ensure a smooth and efficient recruitment process.
This position will be based at Silvus Technologies’ headquarters in the heart of vibrant West Los Angeles, CA, and is on a hybrid schedule; a minimum of 3 days onsite per week is expected. On-site days are Mondays, Wednesdays, and Thursdays.

ROLE AND RESPONSIBILITIES
- Ownership in managing all interview scheduling, ensuring seamless coordination between the candidate, hiring manager, and interview panel.
- Clear communication with candidates on interview details, providing clear and timely logistics and necessary preparation materials.
- Proactively identify and resolve scheduling conflicts while maintaining a high level of responsiveness and organization.
- Keep recruiters informed about any scheduling issues, last-minute changes, or candidate-related concerns to ensure seamless communication.
- Assist candidates with travel, accommodation, and reimbursements if necessary.
- Ensure visitor forms are submitted in a timely manner for all candidate onsites.
- Greet and assist candidates during onsite interviews, ensuring we create a positive and professional experience. This includes ensuring conference rooms and spaces are booked for all onsites.
- Serve as the primary point of contact for the candidate and the interview panel, addressing any questions, concerns, or changes that may arise throughout the interview process.
- Provide regular updates to recruiters on assigned projects, ensuring clear communication on progress, blockers, issues, and next steps. This includes keeping recruiters copied on communications both internally and externally.
- Lead the planning, coordination, and execution of the internship program. This includes:
- Obtaining job descriptions and working alongside the hiring managers and recruiters for review.
- Assisting in the coordination and scheduling of career or recruiting fairs on campus.
- Coordinating onsite university events, which include supporting with attendance, agenda, and any logistics for the day of.
- Manage coordination with external agencies by reviewing candidate ownership, scheduling, gathering candidate feedback, and communicating with the agency regarding next steps.
- Generate reports and analysis of Recruitment KPIs for the Recruiting team and Senior Management.
- Handle ad-hoc recruiting tasks and special projects to support the overall hiring process.
REQUIRED QUALIFICATIONS
- High School Diploma or GED
- Minimum 2 years of experience in a related role.
- Experience in college recruiting and internship support
- Experience with high-volume scheduling and coordination.
- Experience with applicant tracking systems, including the use of ATS reporting functions (Lever, Greenhouse, etc.).
- Comfortable using Microsoft Excel to organize data, create basic charts and graphs, and assist with reporting tasks.
- Excellent time management and oral/written communication skills.
- Proven record of managing multiple priorities, meeting deadlines, and maintaining strong attention to detail.
- Sense of urgency and ability to work effectively and prioritize tasks in a fast-paced environment.
- Able to troubleshoot issues and provide solutions proactively.
- Ability to work effectively as a team player and independently with minimal guidance.
- NOTE - Must be a U.S. Person (U.S. Citizen, or U.S. Permanent Resident) due to clients under U.S. federal contracts.
- All employment is contingent upon the successful clearance of a background check.
PREFERRED KNOWLEDGE SKILLS AND ABILITIES
- Confident communicator with the ability to lead presentations, represent the company at college events, and assist with company trainings.
- Experience with project management and ability to keep track of tasks ensure nothing falls through the cracks.
- Comfortable handling last minute changes and shifting priorities.
- Demonstrated commitment to professional development.
TRAVEL REQUIREMENTS
- Travel to universities for campus fairs.

COMPENSATION
The pay range is NOT a guarantee. It is based on market research and peer data, and will vary depending on the candidate’s experience and qualifications.
CA Pay Range
$75,000—$200,000 USD
