The role
We currently have an excellent opportunity for someone with an interest in records management to build upon their administrative career.
Reporting into the Records Management Manager and working closely with the National Records Team, we are currently seeking a Records Management Assistant to work on a full-time basis. The Assistant is primarily responsible for providing records management and clerical support in accordance with the Clayton Utz Risk Management Policy.
Key responsibilities
In this varied and busy role you will be responsible for:
- Registering, retrieving and archiving files in our records management system
- Liaising with internal stakeholders regarding collections
- Organising retrieval with our off site providers
- Undertaking general records management duties including manual handling of archive boxes
- Accurate data entry and general database management
- Working on ad-hoc records projects
- Assisting in providing records management advice and support to staff
- Various administrative tasks such as copying, printing and scanning of documents
- Mailroom tasks relating to postage and managing courier bookings
- Facilities related tasks such as maintenance, security and staff movement requests
- Maintaining the Melbourne office print fleet including managing service and consumables
- Assisting with OH&S and warden duties
Skills & Experience
As the successful candidate you will have:
- Some exposure to records management, or administration working in a professional service/law firm environment (preferable)
- Proven past experience working independently with the ability to generate your own work and be proactive
- Proficiency in Microsoft Office essential (and working with records management systems would be highly advantageous)
- A high level of professionalism and attention to detail
- The physical ability to lift up our archive boxes
- Strong oral and written communication skills and a professional phone manner
- The ability to manage a high volume of work and pick up new tasks quickly
- Demonstrate a client focused attitude for internal and external stakeholders
The Records Management team
Our Records Management Team is responsible for the management of legal and business advisory services physical files and safe custody items. This incorporates the management of file storage areas on the legal floors and within the records.
