Job Summary
The Receptionist/Office Assistant will play a vital role in supporting the office operations of Kaftan Communities. This individual will act as the first point of contact for visitors and callers while assisting with a variety of administrative tasks to ensure a smooth workflow within the office. The ideal candidate will be customer service-oriented, highly organized, and able to work flexibly in a busy environment. Proficiency in database software (such as Yardi) and MS Office Suite is a plus.
Responsibilities

  • Greet and assist guests and coworkers as they arrive at the office.
  • Answer and handle incoming phone calls, ensuring calls are directed to the appropriate person or department.
  • Field and distribute emails to the appropriate team members.
  • Manage daily mail, including receiving, stamping, distributing, and metering outgoing mail.
  • Receive and distribute packages; create shipping labels using online platforms such as FedEx.
  • Maintain office supply inventory for the corporate office and properties, placing orders as needed.
  • Draft periodic correspondence for managers using MS Word.
  • Maintain and update company directories.
  • Assist with large mailings and special projects as needed.
  • Ensure the kitchen and common areas, such as conference rooms and the lobby, are clean and organized.
  • Run errands, such as banking or picking up office lunches, as directed.
  • Scan, file, and perform other light administrative duties to support office upkeep.

Requirements

  • High School diploma or equivalent; some college coursework is preferred.
  • Strong verbal communication and organizational skills.
  • Customer service-oriented with excellent attention to detail.
  • Familiarity with database software (Yardi) is a plus.
  • Proficiency in MS Office Suite (Word, Excel, Outlook).
  • Valid driver’s license and current automobile insurance.
  • Ability to multitask and work collaboratively with an established team.
     

Details
Full-time position: Monday through Friday, 8:30 AM – 5:00 PM.
