About the role:

We are looking for a dedicated and professional Receptionist to join our team. As the first point of contact for our office, you will play a crucial role in providing a warm welcome to guests and professional assistance to employees and customers. You will manage incoming and outgoing communications, maintain records, and ensure the smooth operation of the reception area.

What you will be doing:

  • Providing ongoing reception services, ensuring a warm welcome for guests and professional assistance to employees and customers in alignment with the company's established standards.
  • Managing incoming and outgoing communications through the landline telephone and email and traditional correspondence at the reception area (both in English and Polish).
  • Collaborating effectively with external service providers, including couriers, postal services, and suppliers.
  • Facilitating the orderly and efficient circulation of documents within the organization.
  • Monitoring inventory levels and overseeing the replenishment and procurement of food and office supplies.
  • Ensuring the maintenance and operational efficiency of office equipment, including printers, multifunctional devices, shredders, and coffee machines.
  • Working closely with the building manager and technical service team to address any facility-related needs.
  • Organizing and providing support for meetings and conferences, ensuring all logistical needs are met professionally.
  • Performing ad hoc duties as required to ensure the smooth running of the office, as assigned by the Office Manager or other Managers.

What you bring:

  • High school diploma.
  • 3+ years of experience in a similar position.
  • Very good English skills (min. B2).
  • Proficiency in written and oral communication skills in dealing with employees or external customers/clients (both in English and Polish).
  • Knowledge of project management with the ability to multi-task ongoing projects of varying size and complexity.
  • Proficiency in demonstrating or explaining tasks, concepts, instructions, etc., to others.
