Summary of This Role
Answer telephones, screen calls, and take messages so callers/visitors are dealt with promptly, courteously, and accurately. Transcribe, type, format, and proof read a variety of material using word processing, presentation, graphics and spreadsheet software. Coordinate internal and external meetings. This may include scheduling meeting times, making travel arrangements for attendees, and ensuring that various meeting amenities are available. Manage the appointments and schedules of staff in the unit. Activities may include distributing incoming mail, preparing outgoing mail, filing, maintaining office supplies or other inventory.
What Part Will You Play?
- Acts as the first point of contact for visitors. Greets visitors, clients, or guests in person or over the phone. Occasionally answers routine questions about the services that the business offers or general company information. Transfers callers to appropriate parties or takes a message and delivers in a timely manner. Checks in and tracks visitors via computer database or log book. Obtains necessary identification, to issue visitor's badge/pass. Notifies company associate of visitor's arrival and validates meeting. Directs visitor to appropriate area or requests company associate for an escort.
- Assists other team members in handling overflow work, to include drafting basic emails or announcements for division, security, facility, etc., as directed. May backup administrative support by coordinating reservations for conference or training rooms, ordering office supplies, maintaining files and documentation required to support business functions, as directed.
- Receives and circulates general office mail or business related items, such as applications/resumes, business cards, newspapers, etc.
