We are seeking a dedicated and results oriented individual with exceptional communication and relationship skills as Part-time Receptionist to join our Corporate headquarters. This position is 3 days a week. Monday, Tuesday and Wednesday.

How You’ll Shine

  • Collaborate closely with C-suite executives and board members, facilitating smooth communication and scheduling alignment.

  • Efficiently manage and synchronize multiple Outlook calendars, ensuring optimal use of corporate conference rooms and seamless coordination of visitor appointments. Notify leadership promptly about any schedule changes.

  • Greeting and welcoming visitors, clients, and employees as they arrive at the office. Providing a positive first impression and creating a welcoming environment.

  • Provide comprehensive support for quarterly and annual Board of Directors meetings and ensuring all logistics are in order.

  • Coordinate communication with outside vendors and assists with operational needs for events.

  • Answer multi-line telephone system, faxes from owners and vendors as well as legal requests and distribute messages to appropriate departments.

  • Oversee inventory management in the executive suite, ensuring supplies are readily available for seamless operations.

  • Maintain strict confidentiality of sensitive information and adhere to company policies regarding data protection.

  • Serve as a liaison between the company, visitors, and vendors, fostering strong relationships and facilitating effective communication.

What You’ll Bring

  • High School Diploma

  • 2+ years' work experience as a receptionist or in a customer service role

  • Experience as a receptionist or administrative function in a business office environment preferred

  • Excellent communication skills, both verbal and written

  • Strong organizational skills and attention to detail

  • Proficient in using Microsoft Office suites as well as Zoom and Teams

  • Ability to multitask and prioritize tasks in a fast-paced environment

  • Friendly and professional demeanor when interacting with clients
