About the role:

As a Projects Document Controller at Sword Group, you will play a critical role in the effective management of project documentation across various stages of the project lifecycle. This position is essential for ensuring that all documentation is systematically processed, tracked, and maintained, thus contributing to the overall success of our projects.

Your responsibilities will include managing the flow of documents between project teams and stakeholders, ensuring compliance with internal standards and industry regulations. You will ensure that documents are accessible, accurate, and securely stored, ultimately supporting the smooth execution of our projects within the Energy, Public, and Finance sectors.

Please note - This is a full-time position based entirely on-site.

As the Projects Document Controller, you will:

  • Manage well and subsurface records throughout their lifecycle, from creation to final reporting or destruction, ensuring proper registration, tracking, and distribution of documents and data from internal and external sources.
  • Assist in capturing records in the company’s Document Management System and the UK regulator’s National Data Repository (NDR).
  • Provide document management support to Drilling, Completion, and Well Services and Geology & Geophysics departments, addressing operational queries and requests.
  • Ensure compliance with company procedures, regulatory requirements, and NSTA standards for well and subsurface information.
  • Oversee document numbering, revision control, and metadata allocation within the DMS.
  • Develop and maintain Well Information Checklists and Master Document Registers (MDRs) to support well operations and project teams.
  • Expedite documentation to ensure timely finalization and accurate processing into the DMS and NDR.
  • Generate and distribute regular reports to support DCWS and G&G in meeting documentation deadlines.
  • Handle document management requests, including numbering, metadata allocation, and retrieval.
  • Perform quality checks on document and data deliverables to ensure compliance with internal standards.
  • Support reporting to the NDR, ensuring regulatory deadlines are met.
Requirements

Required skills and experience:

  • Proven experience in document control within a project environment, with knowledge in Drilling, Completions and Well Interventions information and Subsurface (G&G) data.
  • Understanding of electronic document management systems and related software.
  • Excellent organisational skills with a keen eye for detail.
  • Effective communication skills, both written and verbal.
  • Ability to work collaboratively in a team-oriented environment.
  • Has a systematic and disciplined approach to work and is able to plan, schedule and monitor own work within a limited and / or defined timeline.
  • Experience with compliance standards and best practices in document management.
