ABOUT THE ROLE
REFORM is hiring a Project Manager, Grants & Contracts who will ensure the success and sustainability of the organization by project managing all aspects of incoming and outgoing grants. As a member of the Operations Team, this role will manage relationships with major funding partners, manage communication related to development efforts, and coordinate the delivery of key proposals and reports across the entire organization.

This role is on the Operations team and reports directly to the Chief Operating Officer. 

WHAT YOU’LL DO
Grant Management (50%)

  • Manage all aspects of outgoing and incoming grants, ensuring compliance with funder requirements and organizational policies.
  • Work closely with the CEO to ensure a high-quality steward experience.
  • Design and run efficient systems to maintain accurate records, report out on existing grants, follow-up on receivables, and monitor and evaluate grant performance.
  • Project manage the post-award process by partnering with Finance and Program teams for accurate and timely reporting.
  • Thought partner with the Community Engagement team on the distribution of funds to grantees, ensuring timely and accurate disbursements.
  • Write, edit, and submit letters of inquiry and grant proposals to potential funders using industry best practices, roughly 4-5 times per year.
  • Provide excellent customer service by troubleshooting grant and donor needs as they arise. 

Compliance & Contract Management (40%)

  • Draft, administer, and monitor the full cycle of contract agreements to ensure terms and conditions are met.
  • Develop and maintain systems, tools, and processes to ensure accurate records for subgrants and contracts for two entities (a 501(c)3 and 501(c)4).
  • Work closely with Finance to coordinate disbursement of payment and report instances of non-compliance with contractual terms.
  • Recommend entity-specific (501(c3) and 501(c)4) subgrant or contract-related policies to support overall organizational goals, priorities, and requirements, including compliance with laws and regulations.
  • Review strategies and institutional procedures for dealing with challenging and complex grant or contract management issues.
  • Act as a point of contract for contractors and subgrantees, providing clarity on policies and procedures to various stakeholders, as needed.
  • Create and maintain a records and documentation database that is easy to navigate.
  • Prepare and submit regulatory paperwork in a timely and accurate manner.

REQUIRED QUALIFICATIONS

  • Bachelor's degree
  • At least five (5) years of experience in grant management, fundraising, or a related field.
  • Basic knowledge of grants, grant writing, grants compliance, and grant reporting.

PREFERRED QUALIFICATIONS

  • Excellent project management and time management skills in order to independently manage multiple projects and deadlines.
  • Excellent written and verbal communication skills with the ability to convey information clearly and adjust based upon audience, setting, and intended outcome.
  • Strong ability to prioritize tasks, manage time effectively, and meet deadlines in a fast-paced environment.
  • Strong relationship management skills and emotional intelligence in order to work collaboratively with various internal and external stakeholders.
  • Ability to analyze and interpret complex grant requirements, budgets, and financial reports with a high attention to detail.
  • Proactively predict, plan for, and identify potential challenges and develop creative solutions.
  • Experience with Zoom Grants and Salesforce ideal.
  • Clear passion for and commitment to REFORM’s mission.

ADDITIONAL REQUIREMENTS

  • Authorized to work in the U.S.
  • Live within commuting distance of New York City (midtown) and ability to work in-person five (5) days per week

COMPENSATION & BENEFITS

The salary for this position, which depends on prior work experience and our assessment of your demonstrated fit for the role, will likely be ~$95,000. REFORM offers competitive base salaries based on the 75th percentile of the market among not-for-profit organizations of similar size, with opportunities for salary growth over time. We believe in compensating staff members fairly in relation to each other, their qualifications, and their impact on behalf of the organization, and take internal and external equity seriously.
