We are looking for a Project Management Office Specialist
The PMO Manager is responsible for :
- Bids and Project Structure, Plans and Governance
o Support the structuring of the project from the Bid phase and ensuring a smooth transition between the Bid and the Project by establishing the baseline.
o Structure the management of Bid and Project data.
o Contribute to the adjustment of B&P processes, instructions and guidelines to the context of the Bid or Project.
- Resource and Planning Management
o Provide expertise and know-how in planning techniques and tools
o Ensure the definition and maintenance of the PERT and Integrated Master Schedule, their consistency and completeness and contribute to them, starting from the bid phase.
- Control & Reporting
o Ensure the consolidation of the Bid and Project deliverables according to the client's expectations.
o Alert on deviations and drifts, analyse root causes and propose solutions to reduce them.
o Prepare internal and external reporting.
- Risks & Opportunities
o Be a key player in the identification of risks and opportunities from the bid phase.
o Initialise and maintain the risk and opportunity register (including mitigation plans) from the bid phase.
- Bid & Project Reviews
o Assist the capture leader / bid manager in the preparation of Gates and bid reviews.
o Manage, with the project manager, the preparation of gate reviews and project reviews.
o Ensure the timeliness of Bid and Project reviews.
- Finance (Costs, revenue, cash)
o Assist in the preparation of the quotation file during the bid phase.
o In coordination with the controller, ensure the allocation of the project budget.
o Evaluate the actual costs, challenge the Estimate To Complete and the schedule.
o Consolidate the financial situation and ensure invoicing.
- Data Management
o Assist in the preparation and control of the bid documentation
o Initialise and maintain the non-technical requirements compliance matrix
o Initialise and update the data management and action management tools.
o Organise and manage the Bids and Project files.
- Capitalisation
o Prepare and record a quantitative capitalisation of Bids and Project management activities
o Collect and analyse lessons learned throughout the project life cycle.
o Prepare the closing review (data archiving, closing of the project baseline, ...)
o Share within the Bids and Project community concerned.
Depending on the organisation, other activities may be included in the scope of the PMO:
- Quote / cost office cell
- Configuration management
- Non-technical requirements management
- Contract management (Change notice for the client, estimates in case of change request, dispute with the client)
- Subcontract management
- Supervision of export control activities (TAA, Licences,...)
- Training
