Job Function:

The Project Finance Manager’s role is critical in the day-to-day monitoring of project financial and financial reconciliation of project budgets across the agency, ensuring that all project-related costs are accurate and accounted for within final reports. They will also be responsible for managing the payroll submission for all freelance and part-time project staff. The Project Finance Manager should have a deep passion for financial management and accounting, as well as a desire to play a contributing role in the growth and financial health of the agency.

The Project Finance Manager will be expected to oversee a multitude of tasks; including, but not limited to:

  • Oversee the full project financial process from project origination through project close/reconciliation.
  • Assist in the implementation of company accounting software processes and procedures, including but not limited to, creation and input of job estimates, assignment of job resources and overall job profitability.
  • Responsible for project initiation and job setup and tracking of all project initiation documents, i.e. statement of work, purchase order, etc.
  • Responsible for the creation, review and/or approval of all final project budget reconciliations and project close processes.
  • Routinely reviewing and monitoring project status and budgets to ensure that the agency does not experience any unanticipated project costs and/or cost overages.
  • Reviewing project financial reports for accuracy and completeness, inclusive of vendor invoices, credit card reports, staffing payroll, internal expenses, and employee time.
  • Leading the post-project budget reconciliation process and preparing final budget reports for both internal and external review.
  • Working alongside agency account and production teams to gain an understanding of project scopes and anticipated costs against the outlined project budget.
  • Managing the timely submission of company credit card reporting.
  • Managing the timely submission of project-related freelancer payroll.
  • Managing communications with company insurance brokers for purposes of handling insurance certificate requests
  • Adhering to predetermined timelines to ensure on-time delivery of work while being able to assess, address, and communicate any issues or concerns that may delay delivery.
  • Consistently developing solutions to challenges and proactively identifying ways to improve budgeting processes with agency financial goals in mind.

Requirements:

  • BA or BS in economics, finance, accounting, or related fields.
  • 4-6 years of finance management experience, preferably within an agency environment.
  • Working knowledge of GAAP principles.
  • Strong quantitative skills and an ability to analyze and synthesize financial data.
  • Acute attention to detail and thoroughness with all assigned tasks.
  • Excellent communication and organization skills.
  • Understanding of confidentiality as it pertains to company finances and personal financial information.
  • Ability to work efficiently in a fast-paced environment with tight deadlines.
  • Ability to manage multiple tasks and projects at any given time.
  • Highly competent with Microsoft Excel, Google Sheets and all Google Workspace tools.

The pay range for this position is $100,000 - $115,000 per year. This position is also eligible for benefits and discretionary bonus.

Please note that the foregoing compensation information is a good-faith assessment associated with this position only and is provided pursuant to the New York City Salary Transparency Law.

Ultimately, the salary may vary based upon, but not limited to, relevant experience, time in role, business sector, and geographic location, among other criteria.
