Position Overview:

The responsibility of the Project Coordinator is to ensure customer satisfaction through the coordination of scheduling, planning, and monitoring of project contracts and standard purchase orders. The process begins with a customer order and ends with shipment of goods or services to the customer. The scope of effort encompasses purchase order review, order entry, scheduling, engineering design/services, document release, planning, manufacturing, QA and shipment.

The Project Coordinator’s primary function is to interface with assigned customers, collect information, interface with internal organizations, and maintain status to facilitate the on-time delivery of customer projects.

Essential Duties and Responsibilities:

  • Ensuring customer satisfaction.

  • Support Project Management function where required, collating information, sending reports.

  • Communicate all issues across organizational boundaries to assure client satisfaction. Coordinate, as required, client visits, quarterly reviews, and satisfaction improvement efforts.

  • Prepare on time shipping and other performance reports. Proactively communicate any production delay or risk to customers.

  • Support production planning monthly revenue goals.

  • Support planning and manufacturing efforts for standard orders.

  • Support master scheduling effort to identify manufacturing window.

  • Maintain delivery schedules in customer MRP systems as required.

  • Coordinate ODI satellite facilities production promise dates.

  • Raise RMA’s as required

  • Track Material Requests (MRs) and Not Released designs (NR’s) as required to support qualification and/or manufacturing.

  • Support Customer Supplied Information Coordination. Provide dates and track progress regarding witness, boot seal information, tagging/labeling, shipping information and other customer supplied information.

  • Monitor and track availably of customer owned material (COM) and customer supplied material (CSM) needed to complete production programs.

  • Coordination with the Quoting department to ensure all requests for quotes (RFQs) are completed in a timely manner. Advise manager if additional support is required to complete the quoting effort.

  • Coordinate with Operations to generate and maintain project schedules.

  • Arrange and participate in customer conference calls and on-site meetings.

  • Create and maintain customer specific action item lists.

  • Ensure long lead items are ordered. This may involve partial releases or other manual processes.

Education and Experience:

  • BS or BA degree preferred. Related work experience will be considered.

  • Ideally, experience in Project Coordination in a manufacturing organization.

Job Knowledge, Skills, and Abilities:

  • Exceptional customer service and support skills.

  • Technical aptitude is desired.

  • Ability to deal effectively and tactfully with a wide variety of individuals.

  • Ability to work independently in a dynamic environment; able to change direction, remain flexible and respond.

  • Problem solving.

  • Excellent verbal & written communication skills.

  • A “can-do” attitude.

  • Proficient in MS Office Suite, MS Project, and the Internet.

  • Ability to handle confidential information.

  • Professional appearance and working demeanor.
