Hybrid 50% in the office.
As a Project Coordinator, you will oversee project schedules, monitor progress, and manage invoices to ensure timely and accurate delivery. You will coordinate and administer projects across North America and Latin America, facilitating seamless communication and collaboration.
Responsibilities - You will do:

Engineering Services Administration: Strong Interdepartmental Coordination involved whilst handing Suppliers, Customers Correspondences.

Assisting Pre-Sales and Post-Sales documentation and order processing.
-
Tracking and coordinating project status & invoicing, as well as assisting in project milestone deadlines. Scheduling and reports.

Supporting the project staff by facilitating project logistics such as meetings, conference rooms, conference calls, etc.

Taking meeting minutes and action items during meetings and performs basic follow-up
-
Assist all Project Engineering Department on Project related tasks
-
Participating and following up on ISO quality audits including detecting and correcting Quality Assurance Program deviations, as well as key performance indicator reports.

Generating resource forecasts based on project schedules.

Preparing RFP documentation and pre-qualification forms, as well as managing JIRA to track project progress and issues.

Administration: Processing purchase orders and prepare required documents for generating Project Code.

Collaborating with multiple vendors for project procurement to ensure timely dispatch, delivery, return processing, and purchase order generation.

Mitigating Project lifecycle from Proposal to Closing Stage

Ability to coordinate, communicate with multiple departments

Conducting follow-ups with customers regarding Annual Maintenance Proposals and ensure timely payment collection

Keeping attendance and leave record for all projects engineers.
Requirements - You will have:

3+ years of experience in similar roles
-
English language proficiency ADVANCED
-
Attention to detail is essential, as you will maintain high standards of accuracy and organization in all aspects of your work

Detailed oriented with high follow up communication skills
-
Experience in project management software (e.g. JIRA, Microsoft Project) preferred
-
JIRA platform experience preferred but not required
-
CRM platform experience preferred but not required
