Job Description

Role Purpose:

The management of the planning team in order to ensure preparation, review and reporting of accurate project schedules and plans in support of the robust control of projects throughout their lifecycle, including progress tracking, schedule forecasting, ad hoc reporting, maintaining the relevant systems.


Accountable and responsible for the delivery of cost engineering services such as forecasting, cash flows, performance analysis, interface with finance, reporting.


Accountable for leading the team during the development of project schedules and plans, ensuring they are prepared to the required level of detail and accuracy and accordance with contractual requirements and Wood policies, procedures, and standards.


Accountable for ensuring schedules and plans are documented and auditable and that project schedules and plans maintained and issued in a controlled manner. Supervises and manages the Planning team in terms of delegating work, reviewing the work output of the team where appropriate, providing guidance and support, and managing the development of the Planning team members.


Is the focal point for all aspects of planning support to the organization, managing the communications interfaces essential for the delivery of the Planning team and shall be responsible for ensuring systems, process, procedures and standards are maintained and developed as required.

Accountable for ensuring that the procedures and systems are improving as areas of best practice are identified.


Accountable for leading the Document Control Team and function (performance, processes, systems)


Key Responsibilities & Accountabilities:

Responsibilities:

  • Delivery of project cashflows, project revenue forecasts, monthly cost reports per project L3 and above
  • Analysis of cost performance on projects
  • Planning focal point for all planning activities in the Design Unit
  • Review and maintain planning control structures are developed and maintained in alignment with
  • approved project Work Breakdown Structure (WBS).
  • Review and maintain baseline project plans and schedules using appropriate scheduling software.
  • Monitor and control planning activities through all phases of project lifecycle
  • Liaise with the project team, and others as required, including third parties, to maintain awareness of project activities, their status, and their impact on the project schedule and manpower requirements.
  • Analyse project plans and schedules in accordance with project reporting requirements.
  • Analyse project progress and performance status reports in accordance with project reporting requirements and provide analysis and recovery suggestions to the Project Managers and Director of Projects
  • Review and analyse updates to project plans and schedules
  • Review and analyse updates to project manpower requirements
  • Assess and communicate schedule impact of change notifications
  • Monitor overall project progress status, achievement of major milestones, and evaluate project
  • performance in relation to planned performance.
  • Chair internal project progress and performance status meetings as required
  • Deliver accurate and timely control and forecasting of man-hour budgets and ensure that the impact of all change requests are properly assessed and included in the schedules.
  • Chair schedule and cost risk analyses as required
  • Lead Project Controls Compliance and Continuous Improvement Reviews
  • Play a key role in the mentoring and career development of Planning personnel

  • Establish a fully operational document control team including processes, systems and competent personnel
  • Ensure the delivery of weekly document control status reports
  • Lead project controls systems roll out activities
  • Administrator for project controls systems

Accountable for ensuring that:

  • Monthly Cost Reports are accurate
  • Monthly Cashflows are accurate
  • Project Revenue forecasts are accurate
  • Project schedules are maintained in accordance with approved contract and project Work Breakdown Structure.
  • Project plans and schedules are issued in accordance with contract reporting calendar and on an as required basis.
  • All project schedules are fully logic linked and show the critical path and total float for all activities.
  • The project schedule is baselined at the time of approval by the client of funding for the project.
  • All project schedules contain resources in accordance with the corporate standards


Key Result Areas: 

  • P6 Resource loaded schedule per project updated weekly with progress, shown against the project baseline
  • Progress reports
  • Monthly Costs Reports
  • Weekly Project Performance Reports (productivity by discipline)
  • Any other project controls reports as required


Job-Specific Skills: 

  • Advanced knowledge of Cost Engineering, Cost Control
  • Advanced knowledge of Primavera and other scheduling software and related tools and techniques including Logic and CPM analysis, resource loading and levelling
  • Advanced knowledge of Project Execution Procedures for Scheduling
  • Advanced understanding of CTRs
  • Advanced understanding of WBS & CBS structures and project reporting capabilities
  • Advanced ability to develop project schedules and plans
  • Advanced ability to prepare resource loading, progress and staffing plans
  • Excellent understanding of earned value application, cost and schedule variance analyses/trending and what-if scenarios
  • Advanced understanding of project management principles and techniques
  • Strong understanding of Cost Management, Change Control, Planning & Risk Analysis & Management
  • Significant prior experience in a Lead or Senior planning role
  • People management experience

Qualifications

  • Engineering Degree
  • PMI
  • AACEI is a plus

Years of Experience/ Sector:

  • Minimum 10 years relevant cost/scheduling/planning experience
  • Minimum 3 years of Project Controls Management experience
  • Infrastructure / Energy
  • Engineering projects is a MUST
