We're Looking For A: Hybrid Production Media Workflow Coordinator with the ability to have responsibilities in media management, script supervision, and digital imaging. This role is pivotal to ensuring a smooth, efficient workflow throughout production, from the management of media assets to ensuring continuity on set and the integrity of digital files. The Media Workflow Specialist will work closely with the production team to ensure that footage is properly captured, logged, and archived, while also assisting in script continuity and overseeing the post-production process to ensure high-quality deliverables.

What You'll Be Doing:

  • Organize, track, and manage all media assets throughout the entire production cycle, from pre-production to final delivery, ensuring proper ingest, storage, and accessibility of all files. Maintain a structured and organized asset library for all production-related media, with each asset aligning with pre-production schedules, scripts, and clip lists.
  • Ensure the timely creation of proxies and backups for all media files, securely storing them in redundant systems to mitigate any risk of data loss.
    Oversee the media transfer process from cameras to the storage system on set, ensuring that files are correctly transferred and verified for integrity and quality. This includes ensuring that the footage is properly named and categorized. Also includes creating a repeatable system for ingesting different camera system assets including but not limited to, Sony, Blackmagic, iPhone, and more.
  • Manage and maintain Jira boards for media tracking and communication, ensuring that all necessary assets (raw, proxy, and graded footage) are accessible via shared links and properly labeled for post-production teams. Continuously provide updates and track the status of media assets through Jira to ensure smooth communication between production and post-production teams.
  • Develop and/or maintain current department-specific sheets and records, allowing for easy reference and seamless project continuity and discovery.
    Collaborate with the production and post-production teams to streamline the handoff of media and documentation, ensuring all required footage, notes, and assets are available in a timely manner. Facilitate better communication by providing easy access to footage through links and ensuring that the post-production team has everything they need, including raw files, proxies, and color-graded footage.
  • Ensure all media assets from shoots are promptly transcribed and captioned, adhering to tight deadlines to support efficient post-production workflows and timely project completion.
  • Act as the point person for managing and troubleshooting media files during both production and post-production phases, ensuring that technical issues are resolved quickly and that the highest standards of quality are met at all times.
  • Conduct quality control checks on media files to ensure that footage meets the production's technical standards in terms of exposure, color, focus, and overall image quality. Apply LUTs (Look-Up Tables) or preliminary color corrections to provide accurate reference footage for directors and editors.
  • Support the post-production team by ensuring that media files are correctly formatted and prepared for editing and final delivery, assisting with any issues that arise and facilitating an efficient workflow between departments.
  • Continuously update and communicate with the production team regarding media status, continuity concerns, and any technical issues that may impact the production timeline or the final deliverable. Ensure all departments remain aligned on the project's creative and technical goals.
  • Take on-set script notes during shoots, ensuring accurate documentation of Key Takes and any deviations from planned content.


Qualifications (Note: We strongly encourage you to apply even if you don't tick ALL of these boxes.):

  • 3+ years of experience in media management, script supervision, or digital imaging for video production, with a strong focus on digital content creation and post-production workflows.
  • Proven experience in managing media assets, metadatas, and continuity across multiple projects.
  • Familiarity with on-set script supervision, including taking detailed script notes and maintaining continuity for content-driven shoots, especially in fast-paced environments.
  • Strong knowledge of digital media formats, video codecs, and the post-production process, including working with editing software such as Adobe Premiere, DaVinci Resovle, or Avid.
  • Proficiency with project management software, such as Jira, for media tracking and asset management.
  • Experience specifically in social media marketing or direct-to-consumer content creation, with a focus on media workflows that support high-volume, rapid-turnaround content.
  • Experience working closely with in-house marketing or production teams within a digital marketing or social media-focused environment.
  • Demonstrated ability to manage media for multiple projects simultaneously while ensuring seamless continuity and efficient post-production handoffs.
  • Hands-on experience in applying LUTs, and working with footage in an NLE like DaVinci Resolve
  • Certifications in post-production software or media management tools.
  • Certified DIT or Script Supervisor training from recognized programs
  • Technical Knowledge: Knowledgeable in media management software (e.g., DaVinci Resolve, Adobe Premiere, Avid), camera systems and iPhone camera systems.
  • Attention to Detail: Strong focus on accuracy in script notes, media labeling, and ensuring continuity across all production elements.
  • Organizational Skills: Ability to keep large volumes of digital media well-organized and easily accessible to all relevant parties.
  • Communication Skills: Ability to communicate effectively with the production team, providing clear instructions and updates on media assets and continuity.
  • Problem-Solving: Capacity to troubleshoot technical issues with media files and resolve continuity challenges on set in a timely manner.
  • Team Collaboration: Work collaboratively with directors, cinematographers, editors, and other team members to ensure a seamless production and post-production process.

The base salary range is $23.08-$30.77, plus annual & monthly KPI bonus potential.
