The Product Compliance Coordinator plays an important role in ensuring Zazzle continues to comply with the applicable laws, regulations and industry safety standards for its custom Hardline, Softline, and Food/Consumable products. Compliance is never a dull moment as regulations are ever-evolving and our product library is always expanding! The Product Compliance Coordinator will report to the Product Compliance Manager under the BLC (Business, Legal & Compliance) Team.

What You Will Do:

  • Support Compliance Manager by coordinating testing and gathering regulatory compliance documentation for all products from all makers.
  • Partner with Compliance Manager on product testing plans
  • Follow-up via email with makers and suppliers to complete projects
  • Complete Test Request Forms
  • Place test orders for samples by managing sample requests from makers and suppliers and coordinating with third-party testing lab
  • Track sample shipments, ensuring they reach partners in a timely manner
  • Facilitate maker and supplier testing quote approvals and invoice payments
  • Maintain the Product Compliance database in Airtable, logging accurate metadata for each record including status updates, historical notes, and other documentation.
  • Update JIRA tickets to keep other teammates from Supply Chain, Operations, Reno Production, Product , Licensing Brand Partners, Account Management, and more in-the-know on compliance progress and ETAs.
  • Log invoices onto the budget tracker and work with Accounts Payable to track and communicate payment statuses.
  • Schedule meetings with internal and external partners and sending summaries and follow-up notes.
  • Report wins, highlights and work completed at weekly, monthly, quarterly and annual intervals.
  • Create presentations and conduct research for projects.
  • Gain valuable exposure to Social Compliance by maintaining the Airtable database of facility audit reports, managing expiration dates, logging CTPAT manual, and FLA certificates. 
  • Complete other duties as assigned.

What You Bring to the Role:

  • Minimum of 2 years’ experience required in compliance, vendor management, regulatory affairs, or position within Zazzle.
  • You are extremely organized and detail-oriented, with the ability to prioritize multiple, competing tasks.
  • Ability to manage a high volume of emails and respond in a timely manner.
  • You follow through on tasks assigned and can work independently with minimal supervision.
  • A sense of urgency and initiative.
  • Ability to use sound judgment when making decisions under conditions of uncertainty.
  • You are process-oriented, a stickler for the rules, and obsessed with efficiency and workflows.
  • You are an analytical thinker and enjoy solving complex problems.
  • You have exceptional communication skills, including ability to write clear, concise notes and summaries.
  • You're a team player with a positive attitude.
  • You have high professional standards and values.
  • Demonstrated ability to build strong working relationships with key internal and external stakeholders.
  • Ability to attend occasional evening calls with overseas partners.
  • High School diploma or GED.

Nice to have:

  • Fluency in written and/or conversational Chinese.
  • Experience using Airtable or a similar database (such as SharePoint), and JIRA or a similar project management system.
  • Familiarity with testing requirements, regulations and safety standards for US and international plus but can be trained. For example, the Consumer Product Improvement Act (CPSIA), California Prop 65, FCC, UL, ASTM, REACH, or FDA and food/ cosmetic requirements like HACCP, GMP, FSMA and MOCRA.
  • Experience working and communicating with partners in Asia and/or Europe.
