Formlabs is looking for an energetic, organized and thoughtful champion of Employee Experience. In this role you are the go-to person for our Berlin employees regarding their benefits & perks, you’ll be responsible for office management and safety, managing our food and beverage programs, site-wide event planning, and responsible for handling people operational tasks regarding onboarding, employee changes, immigration, leaves, accommodations, offboarding, etc. You would be responsible for workplace experience tasks such as food & beverage programs, site-wide event planning, and other programs that support our quirky culture and inclusive community as we scale. 

As we grow, so does the complexity of designing strategic programs that enable our employees to build meaningful relationships with each other. This role is also a tactical operator: someone who can execute and continue to improve daily logistics like onsite lunches and onboarding new people. Please note this is a fully on-site position based in a great part of Berlin, Germany. It’s Muhlenstrasse 15, an iconic spot on the east side gallery with a view of Oberbaumbruecke. There are many fun restaurants and bars nearby, including a rooftop bar in our building! 

The Job

  • You will be responsible for developing and maintaining a budget. Come to creative solutions in a cost-conscious way as you plan events and maintain our existing perks.
  • Drive vendor relationships and negotiations. Assess the vendor marketplace, and evaluate with pricing and quality top of mind. Collect information and review data relating to our programs, looking for areas of optimization 
  • Work side by side with our Operations team to help efficiently run the office in a manner that is welcoming and makes every Formling proud to be in our spaces
  • Support the new hire experience from the workplace experience and people operations perspective by conducting some of our onboarding programs that enable our newest Formlings to learn more about the company and our culture
  • Be a key voice in designing and executing a calendar of People programs that drive connections between employees, and products  and further our culture
  • Tackle important projects, including internal events (town halls, department/site-wide all-hands, engagement, holidays)  and general office management 
  • Manage the areas core to the People Operations team for the whole employee lifecycle: Onboarding, Offboarding, Changes, Benefits, Immigration support, Leaves and Accommodations, Employee Relations, etc 
  • Liaise with Payroll as needed to support the timely and accurate processing of payroll
  • Respond to employee tickets promptly and accurately when they ask questions about their employment, pay, experience, or changes they need to make to their personal information
  • Manage processes through a global lens, partnering with teammates across offices globally  to avoid redundancies, share learnings, and align processes wherever it makes sense
  • Keep efficiency and ways to leverage technology top of mind in your work
  • Question the status quo early and often, enabling transformative work across the entire People Org
  • Serve as the first point of contact in the office for employees and inquiries, assisting people as needed 
  • Communicate with governmental agencies,/departments to support compliance with regulations 

You

  • Fluency in German (business) and English
  • Able to prioritize and juggle multiple needs at once
  • Have a passion for process improvement; are always looking for ways to do things better
  • Self-motivator with strong interpersonal and organizational skills
  • Ability to help with set-up and break-down of events
  • Well-versed in a variety of technologies including Google eco-system (spreadsheets, Google Drive, documentation)
  • knowledge of compliance and regulation in core areas of HR and German labour law, including communication with various government agencies/departments 
  • Experience with building/updating policies and processes that effectively support and protect our employees and the business 
  • Experience with an HRIS
  • Experience with project management and an ability to work cross-functionally to make processes more efficient and effective
  • Experience working and communicating with senior stakeholders and enjoyment in working with cross-functional teams across the globe
  • Experience with immigration processes
