The Outsourced Services Consultant manages, under supervision, all internal-facing vendor provided corporate services for CNA. Reviews all reporting for Corporate Travel, Mailroom Operations, Corporate Card, Fleet, Courier and Office Supplies to ensure adherence to SLA and KPIs during quarterly business reviews. Coordinates with internal customers to ensure needs are being fulfilled and internal documentation is current. Builds and maintains vendor relationships, monitors service levels, expenses and customer satisfaction.
JOB DESCRIPTION:
Essential Duties & Responsibilities
Performs a combination of duties in accordance with departmental guidelines:

  • Accountable for reporting on all vendor performance and service delivery. Supports Corporate Services team on managing relationships for outsourced providers for mailroom, records storage and destruction, courier services, cafe, catering, travel, credit card service providers, shipping and postage vendors, software providers, vehicle fleet vendors and travel agency and all catalog suppliers. Consults with Procurement and recommends contract enhancements.
  • Evaluates travel goals and programs set by Director, and communicates to vendors as well as internal stakeholders on policy/procedure alignment.
  • Responsible for oversight of related spend. Support the management and submission of the departmental budget. Works with internal departments and external vendors to ensure the timely and accurate settlement of vendor payments and reconciliations.
  • Reconciles and approves final billings from outsourced providers, to ensure accuracy of charges. Coordinates with FP&A on all accruals required for services provided but not yet invoiced as well as accounting chargebacks for usage related services.
  • Creates reporting for leadership to evaluate vendor performance and provides recommendations well in advance of contract expiration. Performs analysis on all vendor utilization to ensure value driven relationships.
  • Manage market share travel commitments for preferred suppliers to maintain corporate discounts.
  • Develops, analyzes and maintains travel and fleet management reports and tracks business travel trends to derive recommendations on how to create efficiency, deepen relationships and generate savings.
  • Actively manage content via CNA's designated Travel Management tool and intranet web sites that is appropriate for Corporate Service end users. Streamline communication channels to the organization and ensure relevant process changes are shared across the enterprise.
  • Builds and maintains collaborative relationships with vendors. Accountable for monitoring and analyzing vendor services, results and expenses. Includes conducting quality reviews to assist the business with assessing areas of improvement, developing solutions, and following remediation plans through to conclusion.

Skills, Knowledge & Abilities

  • Ability to effectively support the management of external travel, mailroom, fleet and record storage and corporate card operation suppliers.
  • Some knowledge of industry trends in the travel industry, mailroom operation, corporate credit card management practices, fleet and record storage, procedures and marketing principles.
  • Excellent communication and presentation skills.
  • Strong interpersonal and team skills with the ability to effectively interact with internal and external business partners
  • Must be able to navigate and maintain a client satisfaction posture with executive admins and executives in sometimes difficult circumstances
  • Strong organizational, analytical and problem-solving skills with a data-driven approach, along with the ability to manage and prioritize multiple projects.
  • Knowledge of Microsoft Office Suite and other business-related software
  • Ability to work independently and collaboratively within the department and cross-functionally across the organization.
  • Willingness and ability to travel up to 10% of the time.


Education & Experience

  • Bachelor's degree preferred in a related discipline, or equivalent.
  • Typically between 3 to 5 years related work experience.
  • Experience managing corporate programs including, mailroom, travel, card, fleet, courier, etc.
