Job Description
POSITION SUMMARY:
The Accounts Receivable Administrator is a critical member of our real estate brokerage accounting team, responsible for managing the transactional accounting for the full revenue lifecycle process—from deal/contract closure to client payment. This role encompasses a comprehensive range of tasks, including processing commissionable agreements, invoicing, payment application, and maintaining accurate records across multiple platforms. By ensuring seamless integration between deal management systems, accounting platforms, and payment application processes, the AR Administrator plays a vital role in the financial health and operational efficiency of the business.
The ideal candidate is detail-oriented, proficient in accounting principles, and has experience working with CRM and ERP platforms in a fast-paced environment. Superior communication skills and the ability to manage multiple tasks effectively are essential.
ESSENTIAL FUNCTIONS:
Revenue Lifecycle Management:
- Oversee the end-to-end process from deal closure through revenue recognition and payment application.
- Ensure accuracy in revenue reporting and compliance with company policies and industry standards.
Deal Documentation Review: Process new commissionable lease agreements, reviewing key supporting documents, including
- Brokerage Deal Sheets (BDS)
- Lease Agreements
- Listing and Commission Agreements
- Broker Splits and Commission Calculations
- Property Management Agreements
- Co-Broker Agreements, including third-party payables and internal revenue sharing.
Invoicing and Integration: Coordinate and generate invoices for various revenue streams, including
- Brokerage commissions
- Construction Management Fees (CM Fees)
- Development Fees (DM Fees)
- Maintain a double-entry process, ensuring accurate data transfer and reconciliation between CRM (ReApps) and ERP (Yardi).
Payment Application:
- Pull daily deposit information from property bank lockboxes or online systems.
- Record cash receipts and apply payments to appropriate client accounts and charges.
Documentation and Compliance:
- Maintain a centralized, standardized filing system for all invoices, receipts, and supporting documentation.
- Ensure adherence to centralized shared services communication guidelines.
Close Process:
- Support monthly, quarterly, and fiscal year-end close processes, ensuring accuracy in reporting and timely completion of tasks.
Qualifications
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field required
- 3+ years of experience in accounts receivable, revenue management, or related financial operations, preferably in real estate brokerage or property management
- Proficiency in CRM and ERP platforms (e.g., ReApps, Salesforce, Workday, Yardi)
- Strong understanding of double-entry accounting principles
- Advanced Excel skills (pivot tables, VLOOKUP, etc.)
- Detail-oriented with exceptional organizational skills
- Strong communication and customer service skills
- Ability to work effectively in a fast-paced, high-volume environment
Preferred Qualifications:
- Experience with commission and brokerage revenue models
- Familiarity with lockbox payment systems and bank reconciliation processes
- Knowledge of industry compliance standards and best practices
