Job Description:

As a Retail Operations Coordinator at Bubble Skincare, you’ll play a vital role in supporting our retail operations, ensuring seamless interactions with our retail partners. This entry-level position offers a unique opportunity to develop strong organizational, data management, and technical skills within a dynamic beauty brand. You’ll be responsible for assisting in the smooth execution of day-to-day retail operations, troubleshooting technical issues, and maintaining accurate inventory and sales data to support our team’s goals.

Key Responsibilities

  • Administrative & Project Support: Assist the retail operations team by managing day-to-day tasks, organizing documents, and maintaining inventory records, ensuring that all materials and projects run smoothly and efficiently.

  • Order Tracking & Documentation: Monitor and document product orders, ensuring on-time delivery and tracking all shipments and receipts accurately. Communicate updates to relevant team members as needed.

  • Retail Data Management: Manage and update key retail data, including inventory, sales, and promotions. Ensure data accuracy in systems and generate regular reports to support the retail team in making informed decisions.

  • Technical Support: Troubleshoot issues with retail systems (e.g., ERP, EDI, 3PL Portals). Provide first-line technical assistance or escalate more complex issues to the IT team for timely resolution.

  • Merchandising & Promotion Coordination: Collaborate with the merchandising team to coordinate the setup of in-store promotional materials and displays, ensuring brand consistency and adherence to Bubble’s standards.

  • Performance Reporting: Generate and maintain regular reports on Order Fill Rate and On-Time Delivery to support retail performance monitoring and to provide actionable insights for improvement.

  • Special Projects: Participate in special projects and initiatives to enhance retail operations efficiency and contribute to team-wide goals.

Skills & Qualifications

  • Education & Experience: Bachelor’s degree in a relevant field or equivalent experience in retail, customer service, or administrative support. Prior experience in retail or supply chain operations is a plus.

  • Technical Proficiency: Basic knowledge of Microsoft Office Suite (particularly Excel) with the ability and willingness to learn new systems. Experience with Netsuite and EDI systems is advantageous but not required.

  • Organizational Skills: Strong time-management and multitasking skills, with high attention to detail and the ability to thrive in a fast-paced, deadline-driven environment.

  • Communication Skills: Excellent verbal and written communication skills, with a customer-oriented mindset and the ability to collaborate effectively with team members and retail partners.

  • Adaptability & Interest in Beauty: A proactive and flexible approach to changing priorities, along with an interest in the beauty industry—particularly skincare—and a desire to grow within the retail operations field.

Expectations & Qualifications:

  • Bachelor's degree in Supply Chain Management, Operations Management, Business Administration, or a related field.
  • Proven experience in supply chain management, logistics, or operations, with a minimum of 3 years in a managerial role.
  • Strong understanding of supply chain principles, logistics processes, and inventory management techniques.
  • Excellent analytical and problem-solving skills, with the ability to analyze data, identify trends, and make data-driven decisions.
  • Demonstrated leadership capabilities, with the ability to motivate teams, foster collaboration, and drive results in a dynamic environment.
  • Excellent communication and interpersonal skills, with the ability to build relationships, negotiate effectively, and influence stakeholders at all levels.
  • Proficiency in supply chain management software, ERP systems, and Microsoft Office Suite.
