Team Overview:

The Operations Team at SOE supports the company as a whole to create the necessary environment for the best engineering to occur. Each member of the team comes from unique and diverse backgrounds to ensure the company is properly resourced and that money flows smoothly and responsibly throughout the organization.

Job Overview:

The Operations Coordinator role interacts with all aspects of the SOE business to enable its activities, all the way from daily transactional activities such as purchasing, inventory, and logistics to helping with process improvement and deployment of new company systems. 

What You Will Do:

Transactional Activities

  • Handle and fulfill purchasing and shipping requests while escalating problems to senior members of the Operations Team, including monitoring communications on group email accounts for purchasing operations
  • Manage vendors, including initial onboarding and working with internal and external stakeholders to resolve issues
  • Process incoming invoices and bills to ensure timely payment and quality of accounting
  • Liaison with subcontractors and independent contractors on payment and contractual matters
  • Assist with office and facility management tasks, such as lab and facilities inventory, scheduling and supervising maintenance personnel, and organizing preventative maintenance activities

Process Improvement 

  • Assist on and eventually lead projects to improve systems and processes that support SOE Operations

Project Controls

  • Manage and track independent contractor hours to ensure accurate project accounting for contractor expenses as well as ensure contracts stay updated if issues arise
  • Communicate with Project Managers to supplement and plan purchasing forecasting
  • Assist and eventually develop systems and processes that help SOE’s projects stay within budget and on schedule
  • Manage and regularly audit project inventories to ensure 100% accountability of project purchased or customer owned assets

What You Will Need:

  • Bachelors or Associates degree or equivalent
  • 1-3 years experience working in an office environment on a service oriented team
  • Excellent verbal and written communication skills with attention to detail
  • Familiarity with general accounting and data analysis to support SOE accounting teams
  • High level of organization and responsiveness
  • Desire to proactively grow and increase impact in the role at SOE
  • Effective use of computers and good typing skills and familiarity with software tools such as Google Workspace, Microsoft Excel, and Atlassian Jira

What Would Be Useful:

  • Degree in Business Administration, Finance, Accounting, or a related field
  • Experience with project management frameworks, processes, and systems (Smartsheet, Microsoft Project, Agile, Waterfall)
  • Experience with accounting and purchasing software (QuickBooks Online, Bill.com)
