About the Role

Reporting to the Regional Operations Manager, Western Europe, the Operations Coordinator plays a crucial role in supporting G Adventures’ operational success. The primary responsibility of this role is to verify and reconcile invoices, identify and resolve discrepancies, and liaise with the finance team to ensure accurate and timely payments. By maintaining cost control and facilitating smooth financial transactions with suppliers, the coordinator helps enhance overall operational performance.

This role is a fully remote role based in Catania, Italy, as there is no physical office in this region.

What You'll be Doing

  • Communicate any significant trip details to vendors, suppliers, Tour Staff and other relevant individuals in preparation for a trip.

  • Assist the Regional Operations Manager in day-to-day coordination and management of business operational activities.

  • Identify problems in the operations process and resolve them in a quick and timely manner.

  • Evaluate current operational performance and provide strategic plans for improvements.

  • Help prepare for and assist with Tour Staff training and provide the Tour Staff with the needed support.

  • Handle the region's finances, including investigating and resolving issues with incorrect invoices in a timely and efficient manner.

  • Ensure timely payment processing by coordinating with the finance team and monitoring outstanding invoices.

  • Accurately validate trip budgets to maintain financial efficiency.

  • Liaise with suppliers to build and maintain an efficient and strong working relationship.

  • Monitor department email accounts as requested, actioning emails according to priority.

  • Develop a thorough understanding of and capability in all department administrative roles and tasks to provide holiday/sick cover.

  • Carry the Operations Emergency Phone on a rotational basis.

  • Contribute to the company’s performance and culture by fully embracing the G Adventures Core Values and promoting a positive and enthusiastic working environment.

You may also be asked to:

  • Handle non-critical and critical incidents and assist Tour Staff and/or travelers in a professional, empathetic, and efficient manner.

  • Help create customized trips upon request.

  • Action technical questions from GCO’s (Inside Sales department) concerning trips.


Desired Skills & Experience

  • At least 1 year in the tourism industry.

  • Solid knowledge of the travel industry and the geography of the region.

  • Any experience as a tour leader is considered an advantage.

  • Strong financial acumen, with experience in invoice reconciliation, budget validation, and cost control.

  • Advanced organizational, time management, and problem-solving skills.

  • Superior attention to detail and accuracy.

  • Intermediate knowledge of Excel and general computer proficiency.

  • Exceptional English written and oral communication.

  • Any knowledge of French, Spanish, Portuguese, and/or Italian is considered an advantage.

  • An understanding and commitment to customer service.

  • Ability to adapt to an environment that is subject to constant change.

  • A proactive and adaptable attitude, with a willingness to embrace G Adventures' Core Values and contribute to a positive work culture.
